About the role

Duties and Responsibilities:

With a minimum of supervision, the Senior Academic Evaluation Officer is responsible for the effective project management and administration of all processing activities relating to academic evaluation.

Academic evaluation refers to academic performance evaluations, change of program elements, letters of permission, international exchanges and graduation assessments. The Senior Academic Evaluation Officer is responsible for ensuring the Registrar Specialists remain current and effective in all aspects of academic evaluation. The Senior Academic Evaluation Officer ensures that processing standards are being met. The incumbent provides advice and support in all aspects of academic evaluation to clients including providing detailed explanation and interpretation, for matters relating to academic regulations and university policy and procedure. The Senior Academic Evaluation Officer must also ensure that faculty academic rule expertise exists among the Registrar Specialists.

In consultation with IT Development, the incumbent is responsible for supporting the ongoing technical and functional development of the software systems that support student audits and academic evaluation, graduation and academic performance evaluation.

With a minimum of supervision, the Senior Academic Evaluation Officer is accountable for ensuring team leadership, coaching, training and ongoing development for the Academic Evaluation Registrar Specialists in terms of academic evaluation knowledge and issues. Responsibilities include accountability for ensuring academic evaluation processes are handled in an accurate and timely manner within the Registrar Specialists team environment; communication is current and effective and academic evaluation measurements are being met. As a Team Leader, responsibilities include coordination of work; team development, work load coordination, and conflict resolution to ensure the efficient delivery of service to clients.

Qualifications:

The incumbent must possess the following qualifications:

  • In depth knowledge of academic policies and regulations and have the ability to exercise independent judgment and initiative to solve problems and conduct academic evaluations on a daily basis.
  • The incumbent must be highly motivated and requires excellent problem-solving skills.
  • The incumbent is available for escalations of complex and/or difficult issues that may require considerable research and s/he must be able to identify issues that should be brought to the attention of the manager for discussion or resolution.
  • The incumbent must be able to participate in and effectively lead teams and possess excellent organizational skills and the ability to identify and set priorities for the team.
  • The incumbent must have advanced written and verbal communication skills and interpersonal skills and be able to exercise tact, diplomacy and discretion in working with students and clients.
  • Athorough understanding of the degree audit is required (functional knowledge is essential, technical knowledge is preferred).
  • The Senior Academic Evaluation Officer must be knowledgeable with leading effective work teams, in administering office processing standards, and in coordinating functional operations of an Office.
  • The incumbent must be available to work overtime as required.

Education and Experience:

The above is normally acquired through the completion of:

  • Four years post-secondary study. Equivalencies will be considered.
  • Five years progressive, responsible experience, preferably in an educational institution.
