Job Overview
We are seeking a driven and detail-oriented Accounts Payable Specialist to join our finance team. In this role, you will report directly to the VP, Finance and play a key part in maintaining accurate financial records and ensuring timely payments to vendors. You’ll be responsible for processing invoices, reconciling accounts, and prepare necessary reports for managers.
Your ability to work independently, communicate effectively, and manage multiple priorities will be essential to your success. If you thrive in a fast-paced environment and take pride in delivering accurate and timely financial support — we’d love to hear from you.
In this role you
· Accurately enter accounts payable invoices into the appropriate cost centers, ensuring correct allocation of expenses.
· Prepare and post ledger entries for accounts payable transactions across various cost centers.
· Verify the accuracy of invoices, ensuring they comply with agreed-upon terms and conditions.
· Match invoices with purchase orders, freight documentation, and other supporting materials to ensure completeness and correctness.
· Obtain necessary approvals and signatures for invoices in a timely and efficient manner.
· Prepare invoices for payment, ensuring all documentation is complete and properly authorized.
· Assist in the preparation and execution of weekly cheque runs.
· Monitor and prioritize time-sensitive payments to ensure vendors are paid on schedule and avoid late fees or service disruptions.
· Act as a point of contact for vendors regarding outstanding accounts, payment inquiries, and dispute resolution.
· Reconcile vendor statements and accounts, investigating and resolving discrepancies promptly.
· Maintain positive relationships with suppliers through clear, professional, and timely communication.
· Generate and maintain reports related to accounts payable activities, including aging reports, payment schedules, and audit trails.
· Support internal and external audits by providing documentation and explanations related to AP transactions.
· Ensure compliance with company policies, accounting standards, and regulatory requirements.
· Collaborate with procurement, finance, and operations teams to streamline AP processes and improve accuracy.
· Identify opportunities for automation or efficiency improvements within the AP workflow.
· Participate in system upgrades, testing, and implementation of new tools or procedures related to accounts payable.
To succeed in this role, you should have:
- Education in Accounting or Business Administration,
- Must possess a valid passport and driver’s license.
- Familiarity with accounting software and MS D365,
