Job Summary
The Operations Support Coordinator is responsible for carrying out the order fulfillment work plan for the shift. Utilizing Warehouse Management System (WMS) best practices, the OSC coordinates order allocation, replenishment, and the flow of inbound and outbound freight throughout the warehouse with a focus on accuracy, quality, and efficiency. Excellence knowledge with inventory management and best practices.
- This position require perishable shipments handling experience and flexible hours to work from Sunday to Saturday (35/40 hours a week).
Duties and Responsibilities
- Maintain accurate inventory record keeping
- Assist with planning and organizing oversee the work of team members associated with order processing to resolve discrepancies found physically or systematic during annual inventory periods.
- Prepare and submit progress reports outlining discrepancy resolution.
- Maintain accurate records for accounting, billing and KPI’s associated with DC inventory.
- Provide guidance by following or establishing clear policies and practices regarding DC inventory movements.
- Maintain open lines of communication between staff, supervisors and team members in a respectful, effective and professional manner.
- Works closely with management to understand the volume and resource planning for orders and the respective deadlines which must be achieved.
- Assist with scheduling and training workers in job duties, safety procedures and company policies
- Assist with coordinating, assign and review the work of team members engaged in the following duties: shipping, receiving, storing, distributing and maintaining inventories of materials, parts and products; processing purchasing transactions, and other related activities.
- Uses the work plan for the shift in allocating orders in small manageable batches respecting best practices and limiting work queue intervention.
- Ensures customer orders are released to operations to enable completion as per management’s order fulfillment work plan.
- Plans and ensures any value-added services such as stickering, MH10 labels and consolidation of LPNs is completed before final staging.
- Monitors the WMS work queue to ensure work is being completed as per the order fulfillment work plan and reports any delays immediately to management.
- Schedules, allocates and sets task priorities for customer rush orders.
- Monitor order progress to ensure timely completion of order picking.
- Identifies and reports to management any reoccurring interruptions, errors or opportunities to improve the workflow.
- FIFO, initiate cycle counts and prepare various inventory reports.
- Using the inbound and outbound schedule assigns work to MHE Operators and monitors the flow of work throughout the shift.
- Assigns work and work instructions to Team Members for the manual offloading of trailers ‘lumping’.
- Records in WMS delivery of received inbound trailers not yet put-away to a location.
- Prepares all inbound and outbound transport carrier paperwork, including customer specific requirements
- Oversee and control the arrival, departure, movement and storage for trailers in the yard. Communicates with drivers to move trailers within the yard to ensure inbound and outbound trailer requirements are adequate.
- Adhere to all company policies, procedures, objectives and business ethics
- Practice safe warehouse procedures, identify potential hazards, and recommend improvements where necessary
- Report any work-related injuries or accidents to Supervisor and/or Manager
- Focus and strive for a process of continual improvements for all warehouse functions
- Maintain warehouse in a neat, orderly and efficient fashion
- Various other tasks as may be required
Qualifications
- Direct working knowledge of operations and warehouse management systems related to inventory
- Ability to communicate with coworkers and customers on a professional level
- Basic knowledge of Microsoft Office products, including Excel and Word Strong knowledge of warehouse documentation
- Ability to make sound independent decisions and escalate any non-routine decisions to management.
- Strong attention to detail and prioritization skills.
- Ability to anticipate problems and solve problems to resolution.
- Excellent verbal and written communication skills to work in a customer focused environment.
- Able to adapt to change and quickly adopt new methods and practices required to meet changing business needs.
- Learns quickly and can transfer their knowledge to others.
- Intermediate level knowledge of WMS system, preferably Tier 1 WMS.
- Ability to interpret and act upon complex instructions
- Strong written and verbal skills to communicate with all levels of the organization and its executive team
- Strong quantitative and analytical thinking skills
- Team leadership and teambuilding abilities
- Ability to remain calm in stressful situations, work under pressure and meet deadlines
