Position: Professional Development Project Administrator
Reports To: Associate Director, Professional Development
Contract Type: Fixed Term, Full Time (until June 30, 2027)

Job Summary
The Professional Development Project Administrator supports the Professional Development (PD) department by assisting with ad hoc projects, financial reporting, budgeting, invoice processing, data analytics, and conference speaker engagement and logistics. Reporting to the PD Director, this role contributes to departmental analysis, reporting, and project coordination to help deliver learning opportunities for over 40,000 CPABC members. Success in this dynamic, collaborative environment requires strong attention to detail, initiative, and communication skills, along with proficiency in Excel; experience with financial reporting, project coordination, and tools such as Power BI is an asset.
Key Responsibilities:
Departmental Financial and Data Reporting
- Assist with PD departmental reporting in the areas of financial transaction processing and analysis; statistics compilation and reporting; and data analytics and reporting.
- Assist with preparation of departmental budgets through analysis of past programs and operating results; preparation of detailed Excel spreadsheets; and forecasting financial results of planned operations.
- Compile and present departmental statistics and related reports.
- Using departmental data and in liaison with the Data Analytics team, maintain and develop data analytic reports using Excel and Power BI.
Project Support
- Provide staff support for PD team projects, as they arise.
- Assist with project co-ordination, including scheduling and co-ordinating internal and external project team meetings, monitoring progress towards milestones, and related activities.
- Create project summaries and post-project analysis and assessments.
- Provide business process improvement analysis via documentation and process mapping of existing processes
Seminar and Speaker Coordination and Planning
- Working with the Associate Director, PD and the conference planning team, assist with content planning and speaker outreach and engagement for various CPABC conferences and PD series and events.
- Liaise with PD Delivery and Operations staff regarding conferences and PD series events to ensure smooth transition to the Delivery and Operation.
- Maintain the conference planning SharePoint site and all related documents.
- Support all conference planning functions, including contracting, marketing, analysis of registrations and speaker liaison and document collection and coordination.
Administrative support
- Provide administrative support as required, including document management, co-ordination of internal meetings and events, and other duties as required.
And other duties and responsibilities as may be assigned from time to time.
Key Requirements:

Bachelor’s Degree or post-secondary qualification in a related discipline, or equivalent experience;

Familiarity with financial reporting and budgeting;
-
Proven experience in coordinating projects, and working collaboratively with multi-disciplinary teams to achieve project goals;

Exceptional verbal and written communication and interpersonal skills;
-
Diplomatic, tactful, and comfortable in dealing with senior management and external and internal partners;
-
Takes initiative to solve problems and drive tasks forward independently, while also engaging with colleagues to ensure alignment and support team success;

Meticulous attention to detail, refined organizational and time management skills ;
-
Experience and comfort with working in a dynamic role with changing tasks and projects;
-
Advanced analytical skills with the ability to deal with sensitive and complex information;

Proficiency with MS Office, in particular Word, Excel, Outlook. Power BI experience an asset;

Proven ability to prioritize competing requirements and deadlines under pressure;
The starting annual salary for this position is between $59,400 and $70,537 per annum, based on candidates’ qualifications, experience, and internal parity. Exceptions may be considered with further review.
