McMillan has an exciting opportunity as an Office Services Assistant in our Vancouver Business Centre group. As an Office Services Assistant, you are responsible for the various Business Centre related functions such as photocopy services, mail & courier, inventory, and supply maintenance. Additionally, this role assists with in maintaining physical office environment, purchasing office supplies, coordinating repairs and maintenance and other related services.

Please note that this role has a requirement to work onsite in the Vancouver office at all times. This role will provide support to firm members working both onsite and remotely. What You’ll Do The role is to support the day-to-day operations and to provide a diverse range of services, which include but are not limited to the following:

  • Sorting, digitizing and archiving incoming mail and couriers
  • Processing outgoing mail and couriers using carrier platform
  • Sending and distributing incoming electronic faxes
  • Digital imaging
  • Printing, collating and Binding documents
  • Compiling, formatting and saving electronic documents into Digital Closing Books
  • Helping track monthly statistics
  • Monitor mailroom equipment, troubleshoot minor issues and coordinate repairs
  • Assist with Business Centre special projects
  • Ordering and stocking of office supplies
  • Workspace set-up and clean-up for new hires and departures
  • Ensures timely & accurate setup of furnishings within the event/meeting rooms’ spaces.
  • Organizes and carries out office moves efficiently
  • Respond to firm member requests for premises issues
  • Other duties as it relates to Facilities & Business Centre functions as required.

What You Bring

  • Minimum of 2 years of office experience.
  • Demonstrated ability to deliver exceptional client service and ability to multitask.
  • Strong computer skills and proficiency and ability to learn new specialty software used by the Business Centre Department
  • Excellent prioritization skills and the ability to work with minimal supervision.
  • A focus on getting things done.
  • Strong communication and interpersonal skills are required.
  • Ability to work collaboratively and interact effectively with local office colleagues and team members in other McMillan offices as required.
  • Demonstrated ability to build and maintain constructive relationships.
  • Previous business & office services experience and a natural aptitude for troubleshooting are an asset.
  • Prior experience in a professional services environment would be considered an asset.
  • Flexibility to work outside of regular working hours to accommodate special projects.
  • Comfortable to lift objects such as boxes of papers/files up to 50 lbs.
  • Proficient in Microsoft Office 365 tools including Word, excel and Outlook.
  • Ideal to have experience in iManage, Adobe Suite, and virtual communication tools like Teams, Webex and Zoom.
  • Effectively manages time of self and/or others, by scoping out work, identifying and focusing on priorities, and assessing the necessary resources to get the job done.

Salary range: $43,000 - $45,000 annually
