About the role

Job title: Office & Legal Administrator (PT)
Location: Victoria, BC (Hybrid)
Schedule: Part-Time, Monday–Friday
Hours: 6:00am–2:00pm PT (East Coast hours)
In-Office Requirement: Minimum 2 days per month in the Victoria office (more as needed)

Role Overview
This is a part-time role supporting the Legal team and the Victoria office. The successful candidate must live near Victoria, BC, be able to work East Coast hours (6:00am–2:00pm PT), and attend the Victoria office at least two days per month, with additional in-office time required for visitors, events, or business needs.

The ideal candidate is detail-oriented, highly organized, calm, and clear in their communication, and thrives on supporting the business and creating a positive employee experience.

Key Responsibilities

Legal Administration & Paralegal Support

  • Coordinate contract signature workflows (DocuSign or similar tools)
  • Maintain signatory lists and contract repositories
  • File and organize draft and executed agreements using consistent naming conventions
  • Maintain corporate records, organizational charts, board approvals, and resolutions
  • Track corporate filings, annual returns, and regulatory submissions
  • Support entity management for global subsidiaries
  • Coordinate trademark and IP filings and renewals with outside counsel
  • Assist with compliance documentation and policy updates
  • Redline, summarize, and make minor edits to standard agreements (NDAs, SOWs)
  • Conduct basic legal and regulatory research as needed

Office Operations

  • Serve as on-site point of contact for the Victoria office
  • Maintain a clean, stocked, and functional office environment
  • Manage office supplies, equipment, vendors, and repairs
  • Coordinate mail, courier shipments, and office errands
  • Support planning and execution of on-site and off-site events

Education & Experience

  • Legal Assistant or Legal Administrative Assistant diploma
  • Prior office, facilities, or administrative experience required.
