About the role

We are seeking a highly organized and detail-oriented individual to join our Laboratory Services team as a Medical Laboratory Transcriptionist. In this role, you will be responsible for transcribing dictated medical reports, supporting pathologists and laboratory staff, and ensuring smooth day-to-day operations of the department. The ideal candidate will thrive in a fast-paced healthcare environment, demonstrate accuracy and discretion, and be committed to meeting turnaround times and departmental standards.

ROLE

  • Transcribe dictated reports including surgical tissue reports, consultations, addendums, provisional and final autopsy reports, and stat consultations

  • Prioritize and organize workflow to ensure accuracy and turnaround standards are met

  • Retrieve and review patient reports from required databases; clarify missing or unclear information as needed

  • Distribute transcribed Pathology and Cytology reports to physicians

  • Troubleshoot and report dictation/transcription equipment or software issues

  • Perform daily procedures for electronic authentication of reports

  • Provide administrative support to the Lab Manager, Senior/Charge Technologists, and Pathologists

  • Carry out general office duties including word processing, filing, scanning, faxing, copying, and answering telephones

  • Coordinate frozen section requests with surgeons’ offices and facilitate approvals with Pathologists

  • Prepare and submit autopsy specimen documentation to the Centre of Forensic Sciences and required external agencies (Regional Coroner, Crown Attorney, etc.)

  • Review and process referred-out testing invoices and consult submissions

  • Assist in preparing and maintaining policies and procedures within the Document Management System

  • Support audit processes of laboratory practices and assist with scheduling coverage for staff absences

  • Prepare departmental payroll including overtime and callback tracking

  • Monitor and order supplies, including weekly orders through the Purchasing Department

REQUIRED EDUCATION & CERTIFICATION(S)

  • Medical Terminology Course
  • Certificate in Medical Office Administration course or equivalent experience (Desired)

REQUIRED SKILLS & EXPERIENCE(S)

  • Medical Transcription experience (minimum one year)

  • Exceptional word processing skills including accuracy in spelling and keyboarding (50 wpm), including Microsoft Word and Excel spreadsheets

  • Significant recent clerical experience including excellent organization skills

  • Excellent verbal and written communication skills

  • Ability to exercise good judgement, take initiative and work independently

ADDITIONAL INFORMATION

Location: South Muskoka Memorial Hospital (SMMH) located in Bracebridge. Applicants must reside within 125km of one of our hospital campuses or be willing to relocate prior to starting. *Exceptions will be considered on a case-by-case basis

Hours of Work: Monday - Friday, shifts include 6 am to 2 pm and 8 am to 4 pm. Shifts and hours may change according to departmental requirements per the collective agreement.

Required Skills

  • Completion of a Medical Terminology Course
  • Minimum one year of medical transcription experience
  • Significant recent clerical experience
  • Experience in organizing and scheduling workflow to ensure turnaround times are met
  • Experience in separating and distributing transcribed reports to physicians
  • Administrative support experience, preferably in a laboratory or medical setting
  • Experience in preparing submissions of autopsy specimens
  • Experience in performing audits of laboratory processes
  • Experience in participating in scheduling and coordinating sick relief coverage
  • Certificate in Medical Office Administration course or equivalent experience (desired)
