About the role

ABOUT THE JOB – SHOP COORDINATOR

Location: Calgary, Alberta

Work Environment: On-site Monday – Friday

Work Schedule/Hours: 7:00 am- 3:30 pm

JOB SUMMARY

The Shop Coordinator is responsible for the daily coordination of aftermarket repairs, upgrades, and parts procurement for rotating equipment within the Calgary Service Center. This position requires a highly organized individual with strong multitasking abilities, exceptional communication skills, and the capability to prioritize in a fast-paced environment. The role acts as a key liaison between operations, engineering, vendors, sales, and customers to ensure smooth workflow and on-time delivery.

The Calgary Service Center is primarily an API pump repair facility. While not mandatory, experience with API pumps and rotating equipment is strongly preferred.

PRINCIPLE DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)

Production Coordination

  • Work closely with the Service Center Manager to prioritize and coordinate daily operations.
  • Ensure project schedules are maintained across all functional groups.
  • Enter new service orders and close completed orders in AS400.
  • Create and manage production orders in Access.
  • Maintain and organize job folders, shop order files, and repair documentation.
  • Coordinate and communicate work sequences for procurement, fabrication, assembly, and finishing operations.
  • Manage timekeeping for shop employees (Kronos) and enter timesheets into AS400.

Procurement & Vendor Management

  • Ensure raw materials and finished components are purchased in a timely manner to meet production schedules.
  • Manage parts availability for shop floor activities.
  • Work with external vendors to obtain costs and lead times for required parts and services.
  • Expedite procurement to minimize delays and adjust schedules for unforeseen conditions.

Logistics & Inventory

  • Support shipping and receiving activities, including preparing Bills of Lading.
  • Assist with coordinating pickups and shipments as needed.
  • Support inventory management activities.

Administrative, Finance & Office Support

  • Provide support for AR/AP invoice processing.
  • Maintain and update KPIs, including Sales & Operations Planning metrics.
  • Participate in WIP, PULSE, and backlog reporting alongside Finance.
  • Perform reception duties, including phone management and mail handling.
  • Order office supplies as needed.
  • Provide general HR support when required (no HR on site).

EHS & Site Support

  • Promote and maintain a safe working environment.
  • Attend safety training and monthly inspections.
  • Support the Site Manager with safety initiatives.
  • Coordinate safety certification training (e.g., First Aid, Forklift).

SKILLS & COMPETENCIES

  • Highly organized, detail-oriented, and able to adapt to changing priorities.
  • Strong problem-solving skills with an ownership and accountability mindset.
  • Exceptional written and verbal communication skills in English.
  • Positive, customer-focused attitude with the ability to work in a fast-paced, energetic environment.
  • Proficient with Microsoft Outlook, Excel, Word, PDF tools, AS400, SAP, and Access.
  • Dependable, reliable, and consistent attendance is essential.
  • Hands-on, proactive approach with the ability to lead by example.

EDUCATION AND EXPERIENCE

  • Technical diploma, degree, or equivalent combination of education and experience.
  • Minimum of 3 years experience in a rotating equipment manufacturing or repair environment.
  • Experience with project coordination or scheduling is an asset.
  • Working knowledge of API standards (610, 674, 682) is preferred.
  • ISO 9001:2015 experience is an asset.
