About the role

About this role

As our client roster grows, our account managers are increasingly in demand and we're building a bench of trusted talent to help us stay responsive as new contracts come in. This is a fractional, contract-based role: hours are flexible and scale up or down with project demand rather than a fixed full-time schedule , ideal for an experienced professional who values flexibility and purpose-driven work.

What we're looking for

A skilled, organized Marketing Coordinator who is fully bilingual (French and English) and brings real agency experience. You're a proactive problem-solver with a solid marketing background, strong communication skills, and the ability to keep multiple projects moving. You'll act as a connector across strategy, content, design, and web development ; making sure work is well-scoped, clearly communicated, and delivered on time and on budget.

What you'll do

Client relationship & coordination Serve as a day-to-day point of contact for assigned accounts, managing communications, requests, and expectations. Build trust-based client relationships that support satisfaction and long-term retention. Keep client expectations aligned with project scope, timeline, and budget at every stage. Provide timely, proactive updates on status, milestones, and next steps. Coordinate and take part in client meetings, presentations, and reviews as needed.

Project delivery

Own project workflows from briefing through to final delivery, keeping internal teams aligned on deliverables, timelines, and priorities. Run weekly and daily follow-ups to track progress, clear blockers, and adjust resourcing as priorities evolve. Coordinate cross-functional handoffs across strategy, design, content, and web development. Document decisions, client feedback, and next steps in shared project management tools (e.g., Asana, Harvest, Zoho). Review deliverables for completeness, accuracy, and alignment with the brief before submission.

Risk & budget

Proactively spot project risks, scope changes, and timeline pressures, and escalate as appropriate. Propose solutions and revised timelines to keep projects moving when issues arise. Support budget management by tracking scope, flagging overruns, and keeping documentation accurate.

Process & collaboration

Contribute to refining workflows, best practices, and internal documentation. Support new-client onboarding: intake, briefing documents, and team introductions. Contribute to a positive, collaborative, client-focused team culture.

What you bring

Demonstrated experience in marketing coordination, account management, or client services within an agency or similar environment. Strong understanding of marketing principles and strategies across digital and traditional channels. Fully bilingual : strong written and verbal communication in English and French. Excellent organization and time management; comfortable prioritizing in a fast-paced setting. Proficiency with project management tools and collaborative platforms. Exceptional attention to detail and a commitment to high-quality client experiences. Proactive problem-solving to anticipate and mitigate risk. Strong interpersonal skills across clients and internal teams.

Nice to have

Experience with not-for-profit or purpose-driven organizations.

Experience project-managing the development of a content platform

Familiarity with CRM platforms (e.g., Zoho) and Google Workspace. A diploma or degree in Marketing, Communications, Business, or a related field.

What we offer

Flexible, fractional engagement that scales with project demand. Compensation of $55K–$75K based on skills, prorated to contract hours. Hybrid work model. Offices in Ottawa (Westboro) and downtown Montreal, close to all services. A supportive, learning-focused culture with coaching. Only candidates whose skills and qualifications closely match the requirements of this role will be contacted. karmadharma is an equal-opportunity employer.
