What to Expect: The primary purpose of this role is to co-ordinate all key activities for two Division teams – Nutrition and Waters. The chosen candidate will provide executive assistance to both Division Leaders and senior team management and to manage GLOBE (SAP) processing and divisional budget overview related to the Division.
A day in the life Marketing-Divisional Coordinator 40% Divisional Support
- Coordination of key divisional events, meetings and activities
- Anticipate and act on preparation for key meetings
- Provide day to day administrative support to marketing team
- Handle sample requests & inventory
- Build strong contact network within Nestlé to ensure superior response to team requirements
- Support set up for new team members (hardware, meetings, stationary)
30% Executive Assistance
- Provide executive assistance to BEO (General Manager) as well as the senior Division’s leadership team across Water and Nutrition businesses.
- Prepare Division yearly calendar and book Townhalls and LT meetings
- Handle BEO's calendar providing rapid response to meeting requests and highlighting urgent issues
- Completion of expense reports and travel bookings
- Manage office supply budget keeping a tight rein on spending
- Monitor printing, stationary and courier budget to ensure wise use of resources and budget.
- Provide assistance for external visits (Zone, Global)
20% Manage Division's P2P
- Manage end to end process of P2P for brand, divisional and research spending (PFME) including GLOBE (SAP) purchase requisitions, goods receipts, accruals, year end closures; with an emphasis on Nestlé guidelines, procedure, budget constraints and availability of funds.
- PO's for Nutrition team
- Manage and track invoices and vendor follow ups
5% Other Projects and Personal projects
- Assistance with other projects as required, incl. Corporate events and meetings
- Save time for personal projects/pursuits i.e. involvement in Employee Resource Groups (ERG’s) across various DE&I initiatives
Role Requirements
- 5+ years at Executive Assistant level in a busy commercial environment
- Post-secondary education, preferable in Business Administration or equivalent combination of education and experience
- Excellent computer skills, specifically Power Point and Excel, and Outlook. SAP would be a distinct advantage
- Outstanding organizational skills
- Positive can-do disposition, can-do attitude, ability to react fast to multiple competing priorities
- Demonstrated ability to anticipate needs and act\
- Demonstrated ability to work independently with strong initiative/service mentality
- Demonstrated ability to manage well under deadlines and multi-task effectively\
- Strong project management skills and the ability to follow through to completion
- Excellent communication and interpersonal skills
- Must be interested in learning and understanding the business issues in order to maximize personal effectiveness
