About the Role

We are seeking a highly organized and proactive Senior Administrative Assistant to provide executive-level support to our leadership team. This pivotal role involves managing complex schedules, spearheading administrative projects, and ensuring seamless operational flow within a fast-paced environment. Your meticulous attention to detail and ability to anticipate needs will directly contribute to our team's efficiency and strategic success.

Key Responsibilities

  • Manage intricate calendars, schedule meetings, and coordinate executive travel arrangements with precision.
  • Prepare comprehensive reports, presentations, and correspondence for internal and external stakeholders.
  • Organize and facilitate meetings, including agenda creation, minute taking, and follow-up on action items.
  • Serve as a primary point of contact, fielding inquiries and directing them appropriately to optimize executive time.
  • Oversee office supply inventory, equipment maintenance, and vendor relationships to ensure operational continuity.
  • Initiate and manage special administrative projects, ensuring timely completion and adherence to objectives.
  • Process expense reports and manage departmental budgets with accuracy and discretion.

Required Qualifications

  • Minimum of 5 years of administrative support experience, preferably supporting senior executives.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace.
  • Demonstrated ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • Exceptional organizational and time management skills with the capacity to prioritize multiple tasks.
  • Excellent written and verbal communication skills across all levels of an organization.
  • High school diploma or equivalent; associate's or bachelor's degree preferred.

Preferred Qualifications

  • Experience with project management software (e.g., Asana, Trello).
  • Familiarity with enterprise resource planning (ERP) systems.
  • Proven track record of initiative and proactive problem-solving.
  • Certification in administrative professional courses (e.g., CAP, PACE).
