Introduction
GEMINI (www.geminimedicine.ca) is a leading Canadian hospital data and analytics platform that extracts, standardizes, and analyzes electronic health record data to support research, quality improvement, and system-level decision-making. GEMINI spans more than 35 hospitals across Ontario and supports provincial initiatives such as the Ontario General Medicine Quality Improvement Network (GeMQIN).
Building on this foundation, GEMINI is advancing the VITAL platform, enabling near real-time clinical data access across multiple provinces to support trials, artificial intelligence, and a learning health system.
The GEMINI Data team is seeking a Project Manager II to support complex data and analytics initiatives. This role combines hands-on project delivery with the development and implementation of project management frameworks, governance structures, and tools to support execution across multiple concurrent initiatives.
Duties & Responsibilities
Due to the dynamic nature of the role, the responsibilities below are intended as a guide.
Project Planning and Framework Development
Design, implement, and continuously improve a scalable project management framework across the GEMINI Data team
Develop and standardize processes for project intake, prioritization, planning, governance, risk management, and reporting
Create and maintain project artifacts such as project charters, workplans, RAID logs, status reports, and communication plans
Lead requirements gathering and translate business and technical needs into structured project plans and timelines
Support leadership in defining project scope, objectives, and success metrics
Project Execution and Delivery
Lead the implementation of medium-scale projects, ensuring delivery on time, within scope, and aligned with stakeholder expectations
Coordinate multiple concurrent projects and workstreams with integrated timelines and dependencies
Liaise with internal and external stakeholders including data, technical, research, and hospital partners
Identify risks, issues, and resource constraints early and drive mitigation strategies
Develop and execute communication plans to ensure transparency and alignment
Monitor project performance and provide regular reporting to leadership
Manage scope changes and ensure appropriate change control processes are followed
Conduct post-project evaluations and support continuous improvement
Project Management Tools and Workflow Optimization
Lead implementation and optimization of project management tools (e.g., Jira or equivalent)
Configure workflows, dashboards, and reporting structures to support delivery tracking
Support adoption of tools and processes across teams
Stakeholder Engagement and Reporting
Establish reporting structures to provide visibility into project status, risks, and performance
Facilitate cross-functional collaboration and decision-making
Support KPI development, tracking, and reporting
Other Responsibilities
Perform cross-functional duties as assigned
Adhere to organizational policies related to confidentiality, data security, and workplace safety
Qualifications
Undergraduate degree required; graduate degree in health, data, business, or related field is an asset
3–5 years of project management experience in healthcare, research, data, or technology environments
Project management certification (e.g., PMP, PRINCE2, Agile)
Demonstrated experience managing multiple concurrent projects in complex environments
Experience developing or implementing project management frameworks, governance, and standardized processes
Experience with project management tools (e.g., Jira, MS Project, Asana or equivalent)
Skills and Competencies
Strong organizational and time management skills
Excellent written and verbal communication skills
Strong problem-solving and critical thinking abilities
Ability to work independently and collaboratively across teams
Demonstrated ability to manage risk and drive execution
High attention to detail and quality
Assets
Experience working with healthcare data or hospital systems
Familiarity with analytics, digital health, or learning health systems
