Role Overview

The Oversight and Quality Specialist is responsible for reviewing order requests associated to all transaction types across all clients to ensure accuracy and adherence to procedural, regulatory, and compliance policies. The incumbent’s objective will be to maintain the oversight review program, perform regular compliance monitoring activities along with supporting employees within the department by guiding quality specialists and ensuring adherence to quality standards. Discrepancies are to be identified and analyzed for trends in performance within the compliance monitoring activities, and are to be provided to management of each individual team for action and remediation. The Oversight and Quality Specialist will seek to identify efficiencies and provide support to Business Operations Management Team for ongoing development compliance.

Role Responsibilities

  • Performs daily review of audit controls and raises exceptions with the Management Team to highlight inaccuracies in financial and non-financial instructions processed by the Transfer Agency Team

  • Completes weekly, bi-weekly, monthly and semi-annual assessments ensuring adherence to compliance and regulatory requirements and identifies omissions to be corrected by the Transfer Agency Team

  • Performs in-depth research and root cause analysis of errors resulting in financial adjustments to shareholder accounts

  • Investigate recurring quality errors and identify gaps in existing procedures and suggest solutions for improvement

  • Provides monthly statistical reporting on quality and oversight to the Management Team

  • Leads formal reviews of all statistical reporting on quality and oversight with all onshore and offshore stakeholders

  • Oversight and governance of key oversight and quality tasks ensuring that work is completed accurately and in accordance with all company policies; industry guidelines and client policies and procedures

  • Maintains contact with other departments to answer questions, provide assistance, and research, review and resolve problems

  • Identifies and proactively communicates trends/concerns with processing and quality

  • Ensure that teams are continuously seeking to improve controls in processes both internally at IFDS and externally with our clients by actively improving street quality

  • Participates, attends and /or coordinate special projects as assigned or impacting the team

Minimum Qualifications

  • Minimum 5 years’ experience in a transaction processing, quality control, or compliance role in the financial services industry
  • Subject matter expert level knowledge on processes and procedures associated with transfer agency day to day processing
  • Functional knowledge of mutual funds/segregated funds transaction processing software, record keeping systems, and automated work distribution tools
  • Knowledge of IFDS proprietary technologies including iFast Desktop system, iFast Base system, and AWD system
  • Strong understanding of taxation, regulatory and compliance requirements within the Canadian financial marketplace
  • Previous work experience includes demonstrated ability to identify, assess and evaluate risks to provide our clients with the highest quality of service
  • Ability to deal with unexpected situations and address sensitive issues as required
  • Ability to work well in stressful situations and be deadline sensitive
  • Highly analytical problem solving skills with a high degree of attention to detail to ensure 100% accuracy in all transactions
  • Strategic thinker, with the ability to develop creative enhancements to current transaction processing, quality and oversight processes
  • Excellent interpersonal and communication skills
  • Strong work ethic with ability to work independently and in a team environment with shared goals and accountabilities
  • Strong knowledge of MS Excel, Word, PPT, Internet and Outlook email
