FSU Office Clerk - Student Work Study job opportunities open to full-time Fanshawe College students who qualify for the Work Study Bursary program.

This opportunity is supported through The Work Study Employment Program, which is designed to provide work opportunities to Fanshawe College full-time post-secondary or post diploma students with a demonstrated financial need.

Eligible Students

  • Students at Fanshawe College must be a full-time registered student, and meet financial needs assessment criteria

  • Must be in good academic standing according to program requirements.

Successful candidates may be asked to apply to the Work Study Employment Program. The Work Study Employment Program will help Fanshawe Student Union financially to employ students over the summer, fall, and winter term.

Contract - Temporary Part-Time (May 2026 - August 2026)

Up to 35 hours of work per week

Rate of Pay - $17.60 per hour

Summary

The FSU Office Clerk is responsible for a wide variety of clerical office duties in support of company administration. This includes coordinating and communicating office activities, greeting and screening visitors, answering and referring inbound telephone calls, and scheduling appointments. The Office Clerk will also be responsible for administering company correspondence.

Hours of Work: Monday – Friday from 11am-1pm or 12pm-2pm

Job Duties

  • Respond to telephone, e-mail, and in-person/virtual inquiries from clients, business partners, and other parties.
  • Refer inquiries to the appropriate team members, divisions, or departments across the organization.
  • Take and record telephone, e-mail, or written messages for staff members.
  • Type forms, letters, reports, minutes, and memos as necessary.
  • Receive and distribute all forms of paper correspondence.
  • Organize, maintain, and coordinate office records and files in their proper locations.
  • Where necessary, assist in the compilation of data for various reports.
  • In conjunction with the Front Desk Coordinator, organize the logistical aspects of departmental programs, such as meetings, seminars, workshops, special projects, and events.
  • Provide support to the administration of programs/projects as assigned by the Student Services Manager to include, but not limited to:
  • Student Health Plan
  • Student Bus Pass
  • FSU Website (administrative support)
  • As a front-line worker, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions.
  • Provide information to staff and/or clients about special activities.
  • Ensure all forms and reports are completed as needed.
  • Observe and report any security issues to the Student Services Manager.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Maintain the reception in a tidy and presentable manner.
  • Accept and monitor inbound deliveries as necessary.
  • Maintain a high level of confidentiality in all interactions.
  • Support the Administrative Coordinator and Student Services Manager as required.}

Requirements

  • Preference given to full-time students currently enrolled in an Office Administration program at Fanshawe College.
  • Work experience in an office environment.
  • Knowledge of the FSU and its services is an asset.
  • Advanced knowledge of computer applications, including Microsoft Office.
  • Excellent communication skills (both written and verbal).
  • Team player.
  • Ability to work independently and multi-task, ensuring deadlines are met.
  • Able to maintain filing systems, databases, and basic minutes management.
  • Excellent analytical, organizational, and problem-solving skills.
  • Meticulous records maintenance skills.
  • Superior telephone manners and strong interpersonal skills.
  • Strong customer service skills.
