About the Position

Position Overview
The Human Resources Generalist provides administrative, operational, and facilities support across the employee lifecycle. Reporting to the Human Resources Director, this role works closely with leaders, payroll, and finance to ensure timely, accurate, and compliant HR and site operations. The HR Generalist supports the implementation of HR policies and procedures, maintains employee records and systems, coordinates operations and purchasing activities, and provides routine employee and operational support across all locations. More complex employee relations matters are escalated to the Human Resources Director.
Primary Duties & Responsibilities
Hiring and Onboarding Support
- Collect, review, and validate hiring documentation submitted by leaders and hiring managers
- Prepare, process, and maintain all hiring-related documentation in accordance with organizational policies
- Coordinate and facilitate communication with internal and external stakeholders throughout the hiring process
- Draft, prepare, and issue employment contracts in compliance with approved policies and applicable legislation
- Manage end-to-end onboarding processes for new hires
- Follow up with new hires to obtain outstanding documentation and ensure timely completion
- Support hiring managers by completing hiring-related tasks as requested
- Post job opportunities in the HRIS and other approved recruitment platforms
HR Records, Systems, and Policy Support
- Onboard new hires in the HRIS, including work schedules and time-off balances
- Maintain accurate and up-to-date employee records in the HRIS, ensuring all changes are processed within established deadlines
- Manage the up-to-date personnel files and ensure confidentiality
- Coordinate and communicate employee changes related to payroll and other parties in accordance with internal deadlines
- Calculate, review, update, and manage employee time-off balances
- Support the implementation, maintenance, and regular updating of HR policies, procedures, templates, and standard forms
- Continuous improvement in HR processes, workflows, documentation and procedural manuals
- Track Employee Handbook acknowledgements and monitor policy compliance
- Troubleshoot HRIS registration issues and coordinate resolutions with employees and HR service providers
- Prepare and process employment-related letters and parking authorization forms
- Communicate effectively with internal and external stakeholders on HR-related matters, as required
Compliance, Safety, and Employee Support
- Ensures employee documentation and records meet legislative and organizational requirements, including privacy obligations, work eligibility, and record retention standards.
- Tracks legislative changes and provides administrative support for workplace safety and WCB documentation and claims follow up.
- Maintains accurate HR records and prepares HR data and reports related to staffing, turnover, time off, and compliance to support audits, reporting, and continuous improvement.
- Responds to routine employee inquiries and provides administrative support for employee relations matters under the direction of the HR Director.
- Supports purchasing, and site operations, including expense and voucher approvals, supply procurement, event logistics, contractor coordination, and administrative purchasing to ensure smooth and compliant operations across all locations.
- Coordinates staff events and engagement activities as assigned.
Payroll and Benefit Support
- Coordinate the review of employee timecards, communicate with Time & Attendance supervisors, and process required corrections within strict payroll deadlines if required
- Coordinate the review and calculation of statutory and holiday eligibility, as required
- Coordinate benefits onboarding and offboarding in collaboration with Payroll department
- Support final pay calculations, including time-off balances, vacation payouts, pay in lieu, and severance pay
- Coordinate offboarding steps with leaders and internal stakeholders to ensure timely and accurate payroll and benefits processing

Requirements / Qualifications

Diploma or degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience
-
Minimum two years of experience in a similar HR role
-
Experience using ADP or a similar HRIS system
-
Experience coordinating with payroll and supporting policy implementation
-
Working knowledge of Alberta Employment Standards and Human Rights legislation
-
Experience in a non-profit or multi-site organization is an asset
-
CPHR designation or progress toward certification is an asset

Proficiency in Microsoft Office applications, including Outlook, Word, Excel, and Teams

Strong analytical problem-solver and self-starter with a creative, innovative mindset and a demonstrated strong work ethic
