The Opportunity:

The Materials Management Specialist is responsible for developing and maintaining strategies related to the planning, procurement, storage, control, distribution and disposition of inventory. This position is also responsible for the management of related contracts throughout the contract life cycle.

The Materials Management Specialist works collaboratively with all departments and uses considerable discretion in determining objectives and approaches to material management operations. This position works with their team and independently while managing multiple projects simultaneously with little or no supervision.

Responsibilities Include:

  • Create, develop and implement strategies for continuous improvement and adoption of best practices in materials management
  • Responsible for safely operating a Forklift to perform material handling, physical receiving, storing, and shipping of corporate goods on a daily basis
  • Working with departments to implement required processes around quality, pricing, services and delivery
  • Act as a subject matter expert, promoting and offering materials management expertise, guidance and assistance to City departments
  • Develop and maintain reporting systems related to materials management, providing information to various stakeholders including financial reporting, Insurance & Risk Management and Procurement
  • Maintains the catalogue of corporate goods and supplies, incorporating changes and updates related to obsolescence, change of supplier, replacement of existing material, design change or a change in process
  • Responsible for the management of corporate materials contracts. This includes monitoring and overseeing performance and operational delivery:
  • Liaise with Procurement Services and departments for the establishment of new contracts
  • Regular and ongoing review of existing agreements, documents and contracts
  • Review invoices for accuracy, and liaise with vendors regarding delivery and billing issues
  • Create various reports, including usage, expenditure, trends and other analysis
  • Oversee the disposal of surplus moveable assets in accordance with policies and procedures, while maintaining the financial and sustainability needs of the City:
  • Promote the recycling, reuse of equipment to departments
  • Coordinate and review requests for asset disposal, ensuring completeness and suitability of requests
  • Investigate market conditions to determine pricing, favorable lot sizing, and method of disposal or salvage
  • Reconcile all transactions and maintain financial records of sales and disposal transactions
  • Responsible for inventory management of select inventory held onsite. Ensure appropriate inventory levels are maintained, rotated and procured in a timely manner. Includes the taking and valuing of held inventory at set times.
  • Organize and maintain designated inventory areas for efficient material storage and handling
  • Calculate key inventory performance measures, including turnover ratios, inventory on hand, inventory valuation and adjusting of inventory records
  • Receive, store and ship materials based on an in-depth knowledge of overall warehouse plans, documentation requirements, and established warehouse procedures
  • Manage transitional storage space, including:
  • Maintaining common surplus furniture for redistribution across City departments
  • Liaise with departments and corporate properties regarding efficient routing of surplus materials
  • Maintain accurate records regarding furniture on hand, requests, and transactions
  • Monitor and evaluate storage facility needs. Complete needs assessments, liaise with stakeholders, vendors, staff to determine alternatives as needed

You Bring:

  • Bachelor's Degree in a related field, such as logistics or supply chain, equivalent experience in supply chain management (SCM) system technologies may also be considered
  • Certified Forklift Operator License (or be willing to obtain)
  • Five (5) years or more of work experience in a Materials Management position
  • Prior work experience in a contract management role, such as purchasing or contract management
  • Knowledge of supply chain, warehouse and inventory management best practices
  • Understanding of industry changes and innovations and vendor managed inventory
  • Experience with operating a Forklift for material handling would be an asset
  • Experience with lean practices and methodology would be an asset
  • Strong analytical, negotiation and problem-solving skills
  • Excellent organizing and record keeping skills
  • Excellent vendor relationship skills and experience
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook
  • Experience with SharePoint
  • Experience with MERX tendering software would be an asset
  • Ability to work with considerable independence and to demonstrate initiative and resourcefulness in establishing and achieving business objectives
  • Ability to establish effective, positive, and collaborative working relationships
  • Ability to investigate, develop and promote the use of progressive supply chain tools and technologies to accomplish procurement objectives
  • Demonstrate curiosity and challenge the status quo to improve or adapt processes and services
  • Ability to process a high volume of information within tight deadlines
  • Ability to thrive in a fast paced, deadline driven role, while adapting to a constantly changing and challenging work environment

Additional Information:

This is a permanent full‑time position, with 37.5 hours per week.
