PR & Communications Coordinator (Contract)
About the role
About the Role: The PR & Communications Coordinator supports the execution of public relations, media relations, executive communications, LinkedIn thought leadership, and influencer marketing initiatives across multiple client accounts. Working directly with the CEO, you'll be responsible for coordinating day-to-day PR activities, preparing high-quality written materials, identifying media opportunities, managing outreach, and ensuring campaigns are executed efficiently from start to finish. This is an execution-focused role. Strategy, positioning, and client direction are led by the CEO. Your responsibility is to execute at a high standard, maintain organization across multiple accounts, and proactively identify opportunities that support client objectives. This is not an entry-level position. Previous agency or public relations experience is required.
KEY RESPONSIBILITIES:
PUBLIC RELATIONS: Draft press releases, media kits, media alerts, executive biographies, award submissions, fact sheets, media pitches, and other PR materials. Build and maintain targeted media lists using platforms such as Cision, Muck Rack, Meltwater, or similar databases. Research journalists, editors, producers, podcast hosts, publications, industry awards, and speaking opportunities. Execute media outreach and maintain ongoing communication with journalists, editors, producers, and media contacts. Coordinate interviews, media appearances, podcast bookings, and follow-up communication. Monitor industry news and identify proactive PR and newsjacking opportunities for clients. Track, report, and organize earned media coverage across all client accounts. Maintain accurate media databases, press lists, and PR tracking documents.
EXECUTIVE COMMUNICATION: Write LinkedIn content and thought leadership for founders, executives, and business leaders. Draft executive biographies, company profiles, and speaking materials. Research speaking engagements, award opportunities, podcasts, and industry events. Assist in developing messaging and positioning documents for client communications.
MEDIA RELATIONS: Develop and maintain relationships with journalists, editors, producers, and media contacts. Research and identify relevant media opportunities for each client. Customize media pitches based on the publication, journalist, and story angle. Follow up consistently to maximize media coverage opportunities. Maintain organized records of outreach, responses, and secured placements.
INFLUENCER MARKETING: Research influencers and content creators across multiple industries. Build and maintain influencer databases. Execute influencer outreach and partnership communications. Coordinate gifting campaigns and campaign logistics. Track deliverables, deadlines, and campaign performance. Build and maintain long-term relationships with creators and talent.
CAMPAIGN COORDINATION: Coordinate the execution of PR campaigns across multiple client accounts. Manage project timelines and campaign deliverables. Prepare campaign reports, media coverage recaps, and client updates. Coordinate with internal creative, social media, content, and production teams. Support client launches, media events, photoshoots, and PR activations as required. RESEARCH OPPORTUNITY & DEVELOPMENT: Research industry trends, competitors, and emerging topics. Monitor editorial calendars and upcoming media opportunities. Identify partnership, sponsorship, speaking, and award opportunities for clients. Present proactive PR ideas and recommendations to the CEO. Continuously identify new opportunities to increase client visibility and brand awareness.
QUALIFICATIONS: Previous experience in Public Relations, Communications, Journalism, Marketing, or a related field. Previous experience in a PR, communications, or marketing agency is considered an asset. Exceptional written and verbal communication skills. Strong attention to detail and organizational skills. Ability to manage multiple projects and deadlines simultaneously. Experience working with executives, founders, or personal brands is considered an asset. Experience coordinating influencer campaigns is considered an asset.

Maintain confidentiality when working with client information. Represent Secret Media Co. professionally in all communications.
Please Note This is a 20-hour/week Independent Contractor position (5 hours per day, 4 days per week). Candidates must be legally eligible to work in Canada.
