Ultratour Administrator

Position Summary

The Ultratour Administrator plays a key role in coordinating and supporting the Ultratour truck program. This individual ensures smooth operations through effective communication, scheduling, logistics, reporting, and marketing support. The role requires a highly organized and personable professional who thrives in a fast-paced, detail-oriented environment.

Key Responsibilities

  • Serve as the primary point of contact for the Price Rep network and area managers.
  • Provide timely updates and follow-ups to stakeholders.
  • Collaborate with the CE support team and logistics personnel.
  • Plan and schedule Ultratour truck visits throughout the year.
  • Coordinate driver assignments through ProDrivers or other vendors.
  • Arrange hotel accommodations and flights for drivers and CE support team.
  • Maintain and manage multiple calendars (Smartsheet, Outlook, Driver, CE, Upcoming Events).
  • Schedule regular preventative maintenance, cleaning, and repairs.
  • Assist with local truck repairs and liaise with service providers.
  • Develop visit agendas for drivers and CE support team.
  • Ensure marketing materials and promotional items are stocked and shipped to visit locations.
  • Support the development of marketing materials in collaboration with the marketing team.
  • Track visit metrics: number of visits, visitor estimates, costs, and income.
  • Manage invoices from vendors (ProDrivers, Penske, etc.).
  • Handle AIO quoting, payment tracking, and follow-ups with reps.
  • Record and categorize expenses in a master spreadsheet.
  • Perform credit card reconciliation.
  • Follow up with logistics teams to ensure licensing, DOT compliance, and insurance are up to date.
  • Collect and record feedback from the CE support team.
  • Participate in Ultratour visits and deliver presentations when needed (Preferred).

Qualifications

  • Post-secondary education.
  • Experience in planning, coordination, and scheduling is an asset.
  • Familiarity with mechanical parts or vehicles is beneficial.

  • Detail-oriented with a proactive approach to problem-solving.
  • Comfortable working with spreadsheets and financial tracking tools.
