About the IELTS Support Officer Role:
Under the general direction of and reporting to the IELTS Test Centre Manager, the IELTS Support Officer – IELTS Test Centre will provide comprehensive and confidential administrative and customer services related to the IELTS Test Centre.

The incumbent will be responsible for a wide variety of diverse activities simultaneously, including but not limited to: Pre-test and post-test activities, examiner and invigilator record keeping, compliance management, handling end-to-end test-taker journey, and processing invoices and payment.. Additionally, the Support Officer will provide invigilation services and ensure the integrity of all exams. This position requires excellence in IELTS test knowledge and customer service to all IELTS test takers.

  • Finance: Under the direction of the manager, submitting weekly financial reports, Accounts Payable (invoice verification and submission for payments), financial transactions (processing client payments, journal entries). Responsible for any refunds issued through the Centre. A very good working knowledge of Microsoft Excel and IELTS systems is required.
  • Exam Administration: Ensure exams including its resources are planned and in accordance with the British Council requirements, process IELTS registration, prepare test materials and complete the post-test files and activities t under the supervision of the manager. To supervise the test sessions upon needed).
  • Customer Service: Responsible for ensuring exceptional customer service through daily interactions with various stakeholders (Test takers, British Council staff and Humber staff) by ensuring all emails and calls are addressed within 2 business days
  • Inventory Control: Check inventory of computers, exams, and test materials. Maintain and update inventory lists for test files and other supplies, and logging them to the IELTS Stock Control document as per the requirement of the British Council. Request order and purchases as necessary to avoid disruption in services.
  • Training and Guidance: Engage in cross-training to be fully familiar with the execution of tasks on IELTS systems including but not limited to IWAS, ORS2, PlanExams, EMM, BC Sharepoint. Provide functional guidance regarding policies and procedures to casual part-time staff and transfer knowledge of IELTS systems to fellow members of admin staff. Assist with developing training plans and conducting sessions related to testing. Guide part-time invigilators through established procedures during job shadowing
  • Communication: Inform the invigilator, examiner and British council staff regarding the test schedule, test related activity promptly. Manage processes such as collection and security of confidential information (client profiles, test materials, etc.). Under the supervision of the manager, endorse pending tasks to prevent disruptions in operations.
  • Performs other duties as assigned: in support of the administration of CPL and the IELTS Test Centre
  • The incumbent is responsible for ensuring financial transactions are processed correctly and timely as per guidelines. Accuracy required in entering correct numbers (new duty). E.g. cross check the actual test number with the invoices
  • Ensures client satisfaction throughout email and phone call communications and transactions. e.g. to maintain customer satisfaction, the incumbent may decide to issue a free copy of TRF. This needs to be reported to the manager and get approval
  • The incumbent is expected to prioritize work to meet the changing needs of the IELTS Test Centre. When given a task, the incumbent decides the most efficient way to manage it within given deadlines.
  • Handle diverse tasks simultaneously. The incumbent must be able to respond to shifting priorities as they emerge and demonstrate the ability to work with frequent interruptions. The incumbent can get advice from the manager once needed.

Education
3-year Diploma in Business Management, Business Administration, or education field, or equivalent.

Experience/Skills

  • Minimum two years in a IELTS testing service environment, customer service oriented to deal with students, faculty, staff and the public

  • Providing above-average administrative support in a high-energy environment

  • Able to work independently and with minimal supervision (ability to multi-task and deal with multiple deadlines and high stress levels while maintaining a high level of professionalism and proven organizational, problem solving skills to deal with workload from multiple sources)

  • Able to maintain confidentiality while performing as a strong team member

  • Excellent computer skills (proficiency with current software programs, file management systems and data base formats)

  • Excellent communication and inter-personal skills

  • Ability to assess procedures, systems and approaches and provide constructive suggestions for improvement.
