Workforce Operations Support Clerk
About the role
Join the Workforce Operations Support (WOS) team within ETS (Edmonton Transit Service) , part of City Operations! This is an excellent opportunity to become a core administrative contributor, reporting to the Manager of WOS. As a Clerk II , you will be responsible for providing versatile, essential administrative support across all WOS teams. Your work will be the backbone of our operations, spanning staff support, data management, process coordination, and managing critical inquiries. As the Workforce Operations Support Clerk, you will be a vital part of the Transit Scheduling and Workforce Operations Support Section. You will manage diverse administrative tasks, with a primary focus on supporting the Learning and Development Area. This includes independently managing the administration of ongoing learning programs, from updating course materials and testing e-learning courses to managing training records in the TrackIt database.
What will you do?:
- Learning & Development Administration : Independently manage all administration for ongoing training programs, including maintaining course shells, updating participant materials, e-learning course testing, and providing class rosters.
- Training Data Management : Maintain the Learning and Development database (TrackIt), track all training provided, enter records for exams and evaluations, and flag instances of non-compliance.
- Logistical Coordination : Manage the training spaces by ensuring equipment functionality, booking rooms, and stocking supplies, while noting and keeping OHS protocols up to date.
- ETS Badge and ID Administration : Print, process, and distribute new and retiree employee badges and smart fare cards. Every three years, you will complete the reprint of all Operator Badges.
- Administrative and Supply Oversight : Organize catering for office meetings, manage the monthly newsletter, maintain inventory of computer hardware, software, and furniture, and oversee telephony requests (landlines, cell phones, Jabber accounts).
- Inquiry and Recruitment Support : Serve as a primary point of contact, receiving, prioritizing, and answering/directing phone and email inquiries from internal employees, candidates, and people from other departments.
- Process Development : Analyze moderately complex problems and develop step-by-step action plans, creating new Standard Operating Procedures (SOPs) for administrative tasks such as badge printing and supply management.
- Long Service Coordination : Coordinate with the Long Service Awards Administrator to create gift orders, arrange mail merge for milestone letters/plaques with the Deputy City Manager's and Mayor's offices, and communicate with employees about award eligibility and the process.
Qualifications:
- Completion of the twelfth (12th) school grade including business subjects related to word and information processing, or completion of an appropriate certificate program from an approved business school/college, supplemented by training in basic microcomputer applications. OR
- Completion of the twelfth (12th) school grade including business subjects related to data entry, or completion of an appropriate certificate program from an approved business school/college
- Minimum of two (2) years' diversified word and information processing experience
Assets:
- Experience with POSSE, Taleo, Ariba and/or SAP
- Skills and experience in supporting project management activities
Skills required for success:
- Exceptional skills in Google Sheets , including the use of formulas
- Proficiency in relevant software and computer applications, including Google Workspace (Gmail, Calendar, Docs, Forms, Sheets, Slides, etc.)
- Excellent time management and organizational skills, with the ability to manage competing priorities, a large volume of work, and work under tight timelines
- Strong verbal and written communication skills, including excellent grammar, punctuation, and spelling
- Ability to perform assigned tasks with a high level of accuracy and attention to detail
- Ability to creatively problem-solve and think critically, while maintaining an elevated level of professionalism when working with various collaborators with competing interests
- Customer service focused with the ability to maintain effective working relationships and effectively manage conflict
