Posting Status Open to all current Town of Oakville employees and external applicants.
Closing Date Applications for this position must be received at by no later than 11:59 pm on October 2, 2025. Job Responsibilities Working in a team environment, this position is responsible for supporting procurement activity.
Additional Duties Include
- Maintenance of the Contract Management Database (CMD) entries, maintenance and renewal process.
- Reviews and processes assigned electronic requisitions in accordance with the Town’s procurement policies, ensuring compliance with control procedures, accurate pricing, and appropriate approvals.
- Provides procurement support across a diverse and designated portfolio of goods, services, and operational areas.
- Supports a designated portfolio of annual contracts, including responsibility for assisting with negotiations, and securing necessary approvals and processing contract renewals.
- Works in cooperation with the Sr. Purchasing Coordinators and Procurement Specialist as a buying team and assists where requested.
- Responsible for maintaining the Contract Management and Purchasing general emails.
- Point person for purchasing related inquiries and training including approval routing.
- Back up to the Risk Management and Purchasing Administrator including Purchasing Card Operating System (PCOS) and other tasks as required.
- Prepares and issues low dollar quotations, proposals and tenders.
- Other duties as assigned
Qualifications
- Community College Diploma in business or related field, with 1 to 3 years related public purchasing experience.
- Working towards completion of the OPBA’s (Ontario Public Buyers Assocation) Principles Certificate Program and/or NISCL (National Institute of Supply Chain Leaders) would be an asset.
- Applicants must have the ability to respect confidentiality, display initiative, discretion, good judgment and deal effectively with internal clients, suppliers and the public.
- Exceptional organizational abilities, strong interpersonal skills, and excellent written and verbal communication skills are required.
- Advanced proficiency in word processing and spreadsheet software (e.g., Microsoft Word and Excel).
- Experience in procurement processes, including sourcing, purchasing, and contract management.
- Strong analytical and organizational skills, with the ability to manage multiple priorities effectively.
- Familiarity with enterprise resource planning (ERP) systems is preferred.
