CPA Ontario is currently in search of a Firms and Licensing Specialist for our Registrar’s Office. In this position you will be responsible for a full range of services within the Firms & Licensing Team, with focus on the administration of escalated and complex firm and licensure enquiries and firm and licensure status matters. Through interaction with firms and licensees, individuals at all levels throughout CPA Ontario and external stakeholders, the incumbent provides support to the Firms & Licensing Manager and is the first point of contact for the Annual Practitioner Dues & Public Accounting License Renewal project, Professional Liability Insurance audit and compliance matters, PASC reporting, implementation and documentation of process changes, and special projects as required.
What You’ll Doing:
Administrating escalated and complex firm and licensure obligations and status matters, specifically those requiring a high degree of confidentiality and discretion.
Leading the Annual Practitioner Dues and Public Accounting Licence Renewal project, ensuring timely execution and compliance. Responsibilities include managing notifications, tracking licence expiry, coordinating follow-ups, and overseeing firm representative suspension, revocation, and deregistration processes.
Collaborating with cross-functional service areas to plan and coordinate application processes. This includes gathering business requirements, contributing to technical specifications, conducting online testing, maintaining the live site, and resolving bounce backs related to dues and fee notifications.
Collaborating with the Members Team on member suspension, revocation, reinstatement and re-admission as it relates to firm and licensure related matters.
Reviewing and organizing the Professional Liability Insurance annual audit and ongoing compliance including timely suspensions, revocations, reinstatements of Firm representatives and firm deregistration where applicable.
Providing support to the Registrar on Firms & Licensing status appeals and preparing appeal response documentation and supporting the Firms & Licensing Manager when required to ensure application, obligation, and service request processing timelines are being adhered to.
Responding and preparing data and analysis for ad hoc requests from leadership.
Acting as a Subject Matter Expert for testing system changes as it relates to firms and licensing.
Who You Are:
A post-secondary graduate with a degree or diploma in Business, Management, Administration or a related discipline with 2 to 5 years of professional work experience in a complex, rules and standards driven regulatory, membership or customer-oriented environment.
Familiar with CPA Ontario’s governing framework of Acts, bylaws, regulations and policies.
Able to perform in a high volume and fast-paced environment where sound decision-making is required.
Able to prioritize, multi-task and work well under pressure with high volumes of applications and accountability for meeting deadlines.
Detail oriented, able to work with a high degree of accuracy and efficiently manage membership database systems and files. Experience with Salesforce and Power BI and advanced technologies is preferred.
Proficient with MS Office and Microsoft 365; intermediate to advanced proficiency in Excel is required.
Skilled at time management and possess organizational, analytical, problem-solving, and critical thinking skills.
A strong communicator with excellent interpersonal skills and the ability to navigate challenging situations diplomatically.
Self-driven and capable of working independently while also being a flexible and collaborative team member.
