The Program Taproot Community Support Services (formerly WJS Canada) works to improve the lives of persons in their communities through a variety of programs and services.
Our social services agency office is a busy administration hub supporting the Taproot Family Services program management for Westlock, Barrhead and Slave Lake, Alberta.
The Position The Administrative Assistant performs a variety of administrative and staff support duties for a region or group of programs in this CARF/CET accredited agency, which require a range of skills and a knowledge of organizational policies and procedures. Assists and directs visitors and resolves administrative problems and inquiries; composes, edits, and proofreads reports and proposals and prepares a range of administrative documents. The Administrative Assistant has the responsibility of helping set a friendly and courteous atmosphere. This position reports to the Program Director.
Schedule
One (1) temporary full-time position that will work 37.5 hours per week
- Monday through Friday 0900-1700
- Daily 30min unpaid lunch break
- Duration of the position will be dependent on incumbent - anticipated to conclude mid-October 2025.
In Your Role You Will
- Adhere to the standards as guided by Taproot general, personnel and program policies, as well as provincial regulations and demonstrates an understanding of Taproot values, policies, and procedures.
- Complete month end duties, including invoices, staff summaries and month end reports.
- Ensure all invoices, bills, expenses claims, etc., are submitted to the financial coordinator promptly.
- Deal with clients and their families in a professional manner as well as greet and interrelate with service representatives, clients, general public, related agency staff and other community services.
- Coordinate and perform a range of staff and/or operational support activities for the region/program group; serve as a liaison with other parts of the organization in the resolution of day-to-day administrative and operational problems.
- Operate personal computer to compose and edit documents, reports, and other materials from notes or verbal direction or from knowledge of established policies; may prepare, transcribe, compose, type, edit, and distribute agendas and/or minutes of meetings.
- Schedules and coordinates meetings, events, interviews, appointments and/or other similar activities for senior management which may include coordinating travel and lodging arrangements.
- Prepares or assists with the preparation of scheduled and/or ad hoc statistical and narrative reports; performs basic information gathering and analysis and/or forecasting, as specifically directed.
- Assists management and staff in problems solving, project planning, and development and execution of stated goals and objectives.
- Establish, maintain, and update files, databases, records and/or other documents; develop and maintain data and perform routine analysis and calculations in the processing of data for recurring internal reports.

As An Ideal Candidate You Possess
- Certificate/Diploma (Administration or Human Resources)
- 1+ years similar office administration experience
- Able to type 60 wpm
- Excellent Microsoft Office 365, Word, Excel skills
- Skilled in maintaining client and personnel file, data systems, and invoicing
- Good word processing and spreadsheet data entry skills capability
Other key abilities: multitasking, maintaining confidentiality, time management (prioritization) and efficient.
