Position Type: Full-Time Regular

Location: Vancouver

Schedule: Monday to Friday, 8:30am – 4:30pm
Department: Finance & HR

Pay Grade: Excluded Range 4, $53,552 - $70,287 per annum

Job description

The Human Resources & Payroll Administrator is responsible for supporting the Human Resources team by maintaining employee records, assisting with HR-related tasks and administrating payroll. This role involves ensuring accuracy in payroll and benefits administration, coordinating onboarding and offboarding procedures, and providing exceptional service to employees with HR inquiries. A detail-oriented and organized approach is essential to handle sensitive employee information and uphold compliance with regulations.

HR Assistant Responsibilities

  • Coordinate recruitment activities, such as drafting and posting job advertisements, scheduling interviews, and maintaining accurate candidate records.
  • Oversee onboarding and offboarding processes, ensuring a seamless experience for employees entering or leaving the organization.
  • Maintain and protect the confidentiality of HR records, databases, and employee information.
  • Administer payroll, benefits programs, and pension plans with precision and compliance.
  • Prepare quarterly attendance reports.
  • Monitor employee status and update the HR system to reflect changes promptly and accurately.

Payroll Administrator Responsibilities

  • Processes payroll, including performing manual earnings and deduction calculations and transmitting payroll information to ADP.
  • Ensures completion of payroll duties such as reconciling payroll deductions, balancing billing hours to payroll hours paid and reconciling bank statements.
  • Verifies the accuracy of payroll reports. Investigates and resolves discrepancies, and follows up on problems.
  • Ensures completion of year-end reporting including completing working papers, annual T-4 slips, and related summaries. Collects information required for budgets and audits.
  • Respond to payroll-related inquiries from employees.
  • Collaborate with HR and Finance teams to ensure data integrity and alignment.
  • Continuously review payroll processes for improvements and efficiencies.

Experience:

  • Proven experience in payroll and/or HR administration (1–3 years preferred).
  • Strong knowledge of payroll systems and local labor laws.
  • Proficiency in HR software and Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent organizational and time management skills.
  • Strong attention to detail with the ability to maintain confidentiality.
  • Effective communication and interpersonal skills.

Education Requirements:

  • High school diploma required; post-secondary education in Human Resources, Business Administration, or a related field is preferred.
  • Completion of the Payroll Supervisor certification from the Canadian Payroll Association
  • Recent, related experience of two years Or an equivalent combination of education, training, and experience Or other Qualifications determined to be reasonable and relevant to the level of work
