About the role

Job Summary

The Banking Coordinator is responsible for supporting the company’s financial transactions, ensuring compliance with regulatory requirements, and maintaining strong relationships with banking partners. This role involves processing and reconciling transactions, assisting internal teams with banking-related inquiries, and ensuring the accuracy and efficiency of banking operations. The ideal candidate has experience in financial services, knowledge of Canadian banking regulations, and strong analytical and communication skills.

Duties and Responsibilities

  • Uphold the division and Olympia’s reputation and values, while promoting our motto “With Us, It’s Personal” in all interactions with employees, clients, and business associates.
  • Process and reconcile banking transactions, including EFTs, wire transfers, payments, deposits, and withdrawals.
  • Monitor and manage cash flow to ensure funds are available for internal partner transactions.
  • Support digital banking operations and troubleshoot online banking platform issues.
  • Serve as a point of contact for internal departments regarding banking-related inquiries.
  • Work closely with the Treasury, Compliance, and Finance teams to ensure accurate processing of transactions.
  • Assist internal partners with banking processes, providing guidance on account-related procedures.
  • Ensure all banking activities comply with Canadian financial regulations, including AML, KYC, and FINTRAC guidelines.
  • Assist in fraud detection and reporting, working with the Compliance team to mitigate risks.
  • Maintain and enforce internal controls to ensure secure and compliant banking transactions.
  • Prepare daily and monthly reconciliation reports for bank accounts and transactions.
  • Maintain accurate records of banking agreements, client transactions, and internal approvals.
  • Assist with regulatory reporting and audit preparation as needed.
  • Liaise with banking partners and financial institutions to facilitate smooth banking operations.
  • Coordinate with internal teams to improve banking processes and resolve transaction issues.
  • Flexible to perform various assigned tasks as requested by management and executives.

Formal education and experience

  • Postsecondary education in business administration or accounting is preferred but may be supplemented with equivalent work experience (4+ years).
  • 3+ years of experience in banking operations or the financial services industry is an asset.

Specialized skills or knowledge

  • Proficiency in Microsoft Office (Outlook, Word, and Excel) is required.
  • Proven understanding of Canadian banking regulations, AML/KYC compliance, and fraud prevention is required.
  • Strong communication skills (both written and verbal), and the ability to develop and maintain strong interpersonal connections with internal teams and external banking partners is required.
  • Proven ability to multitask and manage high-volume data entry with exceptional accuracy and attention to detail is required.
  • Successful completion of a Criminal Background check is required.
