Job Summary
Reporting to the Strategic Marketing Manager, the Marketing Project Coordinator is responsible for facilitating the Division’s work in external marketing and investment attraction through the coordination of marketing campaigns, ensuring all protocols are met for inward visits and delegations, and providing support to outward missions. This position coordinates, collaborates, and provides regular updates to various key interested parties throughout the project lifecycle. This role also has an indirect reporting relationship to the Manager of Trade and Investment.
Education
- Post-secondary degree or diploma in business administration, marketing, office administration, or related discipline.
- An equivalent combination of education, experience, and qualifications may be considered.
- A minimum of 1-3 years of related experience, preferably working in municipal government.
- Experience in economic development would be preferred.
- Demonstrated experience managing small to medium scale projects.
- Direct experience working with social media management tools.
- Knowledge of protocols necessary for dealing with diplomatic formality, precedence, and etiquette.
- Knowledge of research and evaluation methodology, coupled with experience collecting, analyzing, synthesizing, and reporting on information/data is preferred.
Knowledge
Responsibilities
Coordinates, plans, and implements strategic marketing activities, to meet divisional goals. (45% of time)
- Plans and coordinates strategic marketing activities under the guidance of the Manager.
- Ensures all marketing materials and initiatives align with the organization’s brand identity, tone, and key messaging, reinforcing Niagara’s strategic advantages.
- Supports and leads the development and execution of comprehensive project plans for individual initiatives (e.g., promotional item inventory, print and digital materials, events, photo libraries, video shoots, and interviews), ensuring that all phases are effectively managed, from concept through to delivery, while coordinating resources, timelines, and team efforts.
- Supports the planning and execution of key events, ensuring seamless logistics, partner, engagement, and alignment with marketing and economic development strategies
- Oversee and manage Niagara Economic Development’s social media presence across multiple platforms.
- Leads the management and operation of the business attraction website.
- Manages and maintain ongoing relationships with external agencies, consultants, and service providers, liaising to ensure alignment with the organization’s goals.
- Oversees the tracking of progress, monitor timelines, and ensure deliverables are met in a timely and efficient manner.
- Serves as the primary point of contact for incoming web inquiries, coordinating with internal teams and external stakeholders to ensure timely and accurate responses.
- Responsible for assisting with negotiating contracts with external vendors (e.g., agencies, promotional companies, video production teams) to ensure cost-effective service delivery.
- Collaborates with council members and senior leaders to prepare speeches for them at sponsored events on behalf of Niagara Economic Development.
- Tracks and monitors project timelines and budget (e.g. sponsorships, RFP’s, promotional items, events).
- Coordinates the execution of Niagara Economic Development sponsorships, ensuring seamless execution and relationship management.
- Working with the Manager, defines deliverables and activities that support implementation of key strategic actions of economic development initiatives.
- Leads and/or coordinates special projects and ad hoc divisional and cross departmental initiatives.
- Identifies and defines project planning and implementation issues, needs, and resources (e.g.
financial and human resource requirements).
- Builds and maintains relationships with key internal and external interested parties.
- Maintains confidential and sensitive information acquired in the early project development stages.
- Oversees day-to-day activities of Marketing Student/Intern to ensure completion of projects.
- Provides administrative support to the Manager, Strategic Marketing as needed.
Provides project and administrative support to the Foreign Direct Investment (FDi) program to facilitate the work of the Manager, Trade and Investment. (20% of the time)
- Coordinates all arrangements for conference attendance.
- Builds and maintains relationships with internal and external interested parties and captures information in the customer relationship management (CRM) system to facilitate ongoing communication.
- Ensures all promotional items and supporting materials are prepared and ready for outward missions.
- Supports the planning and coordination of meetings and events with international delegations and attends as needed to facilitate engagement and logistics.
- Coordinates requests for proposal (RFP’s) and agreements with vendors, while working with both internal divisions and external interested parties, to ensure timely completion of documents.
- Assists and coordinates with legal, financial, and procurement matters.
- Gathers data and reports on project metrics.
- Assists in the development of Council reports and other ad hoc reports.
Provides marketing project support to the Physician Recruitment program to amplify the work of the Physician Recruitment Specialist. (15% of the time)
- Supports efforts to attract medical professionals by understanding workforce needs, healthcare systems, and recruitment strategies.
- Contributes to initiatives that directly impact public health outcomes and community well-being, expanding the marketing function to support both economic development and healthcare goals.
- Engages with medical professionals, healthcare institutions, government agencies, and community organizations to strengthen recruitment efforts.
- Provides support for workforce development initiatives aimed at addressing healthcare worker shortages in Niagara.
Manages the coordination and operational aspects of inward official delegation visits to Niagara. (10% of the time)
- Ensures that all customs and regulations dealing with diplomatic formality, precedence, and etiquette are organized in advance of a visit and seamlessly orchestrated.
- Provides briefings as appropriate to those involved in the itinerary.
- Provides guidance/direction on the preparation of materials (e.g., documents, articles, media releases) and works with internal and external Communications teams.
- Ensures required documentation and records management practices are adhered to and align with legislative standards and expectations.
- Working with the Manager of Trade and Investment, establishes goals, priorities, timelines, and expectations of delegation visits.
- Arranges and coordinates logistics of delegation visits and oversees events as they occur in real time.
- Resolves urgent, confidential, and sensitive issues as they arise and manages multiple and changing priorities from interested parties and representatives of the official delegation.
Provides marketing project support to the Electric Mobility Sector to amplify the work of the Electric Mobility Industry Specialist. (10% of the time)
- Supports efforts to promote the electric mobility sector by understanding industry trends, market needs, and sustainability strategies.
- Contributes to initiatives that directly impact environmental outcomes and economic growth, broadening the marketing function to support both innovation and clean energy goals.
- Expands responsibilities beyond marketing and protocol to include industry-specific projects, enhancing the visibility and impact of the Electric Mobility program.
Perform other related duties and responsibilities as assigned or required.
