We are currently seeking an Administrative & People Operations Assistant to support the owners & leadership team with administrative, coordination, and people-focused responsibilities across multiple divisions of the organization.
Position Summary
This role is designed for someone who is highly organized, dependable, and interested in learning how a growing, multi-brand organization operates. The initial scope of the role is intentionally well-defined and focused on foundational administrative and people operations support.Over time, as trust is built and capability is demonstrated, there is opportunity for this role to grow into broader operational or executive support responsibilities.
Key Responsibilities
Administrative & Coordination Support
- Provide general administrative assistance to the owners and leadership team
- Assist with scheduling, meeting coordination, and follow-ups
- Prepare and organize internal documents, lists, and simple reports
- Support multiple divisions with basic administrative needs
- Help ensure information is organized and easy to access
People Operations & Culture Support
- Coordinate team milestones such as birthdays, anniversaries, and acknowledgements
- Assist with onboarding tasks for new hires, including checklists and document collection
- Help maintain internal HR records, policies, and forms
- Support basic people-related administrative tasks (non-strategic HR)
- Assist in planning & executing company events
Operational Support (Foundational)
- Track simple tasks and deadlines assigned by leadership
- Follow up on outstanding requests or action items
- Assist with maintaining consistency and communication across teams
- Provide general support on small operational projects as needed
Growth & Development
This role is intended to grow over time. As the successful candidate demonstrates strong organization, sound judgment, and reliable follow-through, responsibilities may expand to include:
- Increased executive or leadership support
- Greater involvement in operations coordination
- Participation in internal projects and process improvement
Growth will be gradual and aligned with both business needs and individual development.
Qualifications & Attributes
Required
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple small tasks across different teams
- Professional, discreet, and dependable
- Comfortable working in a growing, evolving organization
Preferred
- Previous experience in an administrative, office coordination, or HR assistant role
- Interest in operations, people support, or leadership development
- Familiarity with tools such as Google Workspace or similar platforms

About Mosaic Home Services Ltd
Mosaic was founded in 2016 in a storage shed in West Edmonton. From small and humble beginnings with just two vans and no running water, the organization has grown to a staff of over 80, dozens of vehicles, and franchisees from coast to coast.
Mosaic has always grown with it's customers needs first - every year we survey our clients asking about what additional services they require around their home, and how we can expand our relationship with them. It's our job to make their buying experience simple, convenient, and full of value from beginning to end.
Mosaic acts as an umbrella with a family of brands under it. Mosaic provides sales, marketing, and administrative support to it's brands, who deliver services to clients at their homes & properties. Mosaic does not provide any 3rd party support, only servicing the companies it owns.
The services the Mosaic group currently provide are:
- Screen Window & Door Repair & Replacement
- Residential & Commercial Holiday Lighting Services
- Vinyl & Wood Fencing
- Residential & Commercial Painting
- Residential Maid Service
- Residential Window & Gutter Cleaning
- Residential & Commercial Demolition & Abatement
In 2020 (pre-covid), Mosaic began franchising some of the brands under their corporate umbrella in an attempt to grow their footprint. Since then they have added dozens of new locations across the country, and have grown significantly as a result. At it's core, this growth is driven by the same thing that allowed the organization to expand locally - a keen focus on a simple customer buying experience.
