We are currently looking for an Executive Assistant to join our Vancouver team to support our Chief Commercial Officer (CCO) and Chief Technology Officer (CTO).

This is an exciting opportunity to join a high-performing team. The dynamic nature of this role will require the ideal candidate to have exemplary organization, time-management, and judgement skills with a desire to see everyone around them succeed. The ideal candidate will have proven experience in confidently communicating and interacting seamlessly with a broad range of individuals including members of the Executive Leadership Team, Board Members and other team members across our sites in British Columbia, Texas and Sydney.
The successful individual will be expected to handle highly sensitive and confidential financial, legal, personnel and Company information while exercising professionalism, discretion and a keen eye for the detail. Job requirements

  • A detail-oriented self-starter with prior experience supporting a senior executive or team.

  • Excellent business acumen who demonstrates sound judgment with the ability to prioritize and make decisions.

  • Pro-active, resourceful and passionate to tackle new projects and ideas.

  • Team player with experience in cultivating productive and collaborative working relationships across multiple functions and jurisdictions.

  • Excellent organization and project management skills.

  • Energized by team success and solutions focused when presented with setbacks.

  • Ability to navigate and be agile in changes of priorities.

  • Advanced level computer skills, specifically with Microsoft Office 365 tools.

  • Possess strong values in creating a culture of camaraderie.

Job responsibilities

  • Work directly with the CCO and CTO to support all aspects of their planned work.

  • Maintain the calendars of the CCO and CTO, including scheduling meetings, appointments, speaking engagements, domestic and international travel arrangements.

  • Work closely with the other EAs to arrange cross department workshops and offsites as required.

  • Organize and prepare for meetings, including gathering documents, agenda, minutes and attending to the logistics of meetings.

  • Track progress of projects, ensuring deadlines are met and relevant stakeholders are kept informed including any issues that may arise.

  • Serve as a liaison between the CCO, CTO and third parties. This includes receiving and screening calls, messages, and visitors. Answering a variety of questions with professional judgement and diplomacy, taking messages and directing calls appropriately for resolutions.

  • Assist in the activities and processes of the Commercial and Technology teams.

  • Assist Marketing department when required, from planning to attending events and conferences.

  • Prioritize emails and calls – communicating messages and information to the CCO and CTO as necessary.

  • Prepare, reconcile and submit expense reports.

  • Manage department credit cards, ensuring enough funds are available and card receipts are logged accordingly

  • Maintain records and documentation for the Commercial and Technology teams. This includes confidential and sensitive information.

  • Complete a variety of support projects including the creating of PowerPoint presentations, spreadsheets, reports and agenda material.

  • Other additional and/ or alternative duties as assigned from time to time, including supporting other departments, administrators or Executives as needed.

  • Draft, review and send communications on behalf of the CCO and CTO as required.
