We are currently accepting applications for a Site Safety Administrator to work out of our Winnipeg construction site. The successful candidate will be working under the direct supervision of the Site Coordination Manager and providing accurate and efficient administrative support to the Site Superintendent and Project Manager. What you will be doing:
Administrative:
- Process packing slips, invoices, POs, and timecards; forward to accounting
- Track purchase orders and maintain accurate records for staged deliveries
- Maintain organized digital and hard copy filing systems
- Support site documentation (ERP, fall protection, signage, tool inventory, etc.)
- Assist with expense tracking, reporting, and general admin support
- Maintain site office organization, supplies, and cleanliness
- Provide ongoing clerical support to Site Superintendents and Project Managers
Safety:
- Maintain PPE inventory and site safety supplies
- Conduct daily inspections and complete hazard IDs and safety observations
- Ensure compliance with safety documentation (e.g., Salus, permits, orientations)
- Update safety boards, signage, and emergency information
- Coordinate safety meetings, toolbox talks, and documentation
- Maintain first aid supplies, SDS records, and worker certifications
Shipping & Receiving:
- Follow lead times and supplier requirements as per WestUrban procedures
- Complete purchase/rental requisitions and coordinate deliveries with site team
- Inspect and reconcile shipments against POs and packing slips; report discrepancies
- Organize, track, and distribute materials to trades
- Maintain secure, clean, and organized storage areas
- Communicate promptly with suppliers and follow up on outstanding items
Qualifications
- Minimum one year site administration experience (construction preferred)
- Strong communication, organization, and attention to detail
- Proficient in MS Office (Word, Excel, Outlook)
- Safety experience considered an asset
- Self-motivated, adaptable, and able to work in fast-paced environments
- Ability to work independently and as part of a team
- Physically able to lift up to 50 lbs occasionally
- A team player with excellent interpersonal skills and adaptability
Extras we like to see:
- Intermediate First Aid/Advanced First Aid is considered a strong advantage
- NCSO/CSO is considered a strong advantage
- Understanding of accounting procedures is an asset
- Knowledge of standard site practices and procedures an asset
