About the role

Mission

The Office Coordinator / Receptionist is responsible for creating a welcoming and professional first impression for visitors, vendors, and employees at Panago’s Head Office. This role manages front desk operations, coordinates office administration tasks, and supports day-to-day workplace functions that ensure the office environment operates efficiently and professionally.

This position plays a key role in maintaining office organization, supporting internal teams, coordinating communication, and contributing to a positive and productive workplace culture.

Impact

  • Welcome visitors in a warm, professional manner and assist with inquiries

  • Notify employees of visitor arrivals and coordinate guest access

  • Answer and direct incoming phone calls courteously and efficiently

  • Ensure reception and front-of-house areas present a clean, organized, and welcoming environment

  • Maintain reception area, meeting rooms, and common spaces to ensure they remain tidy and operational

  • Oversee building maintenance and liaise with external vendors to ensure timely repairs and services

  • Operate standard office equipment including printers, copiers, and coffee machines

  • Receive, sort, and distribute incoming mail and deliveries

  • Coordinate courier services and outgoing shipments as required

  • Monitor office supply inventory and coordinate restocking when necessary

  • Maintain general office filing systems and administrative documentation

  • Provide administrative support to various departments as required

  • Monitor and follow up on Panago customer survey feedback, escalating concerns where necessary

  • Support internal communications and assist with the Corporate Communication process

  • Assist with scheduling, meeting coordination, and internal announcements when required

  • Ensure compliance with workplace procedures and safety standards

  • Help maintain a clean, safe, and organized office and social hub environment

  • Support employee engagement initiatives and workplace culture activities

  • Assist with coordination of internal events, office gatherings, or programs when needed

What you bring

  • Strong proficiency with Excel and Word

  • Ability to work with a variety of different personality types in multiple markets

  • Solid ability to build and manage relationships, as well communicate effectively

  • Strong writing and editing skills

  • Strong ability to organize and oversee multiple priorities and projects simultaneously

  • Result focused, detail oriented, and a critical thinker

Additional Details

  • This position is on-site at our head office in Abbotsford with office hours 9:00am-5:00pm.
