The Department of Medicine's core mission is to undertake outstanding education, research, and high-quality clinical care to provide the best possible health outcomes for Albertans. We have 14 divisions that work collaboratively in a multi-disciplinary, multicultural and ethnically diverse collegial environment with over 1,400 clinicians, scientists, learners and administrative support.

The Academic Department Manager, reporting to the Faculty General Manager, is the senior executive for the Department of Medicine. In collaboration with the Department Chair, the ADM is accountable for the design, implementation, and management of efficient and effective administrative systems and structures within the Department in support of its 14 divisions.

The Department of Medicine is an academic medicine area that is multidisciplinary in research, teaching, and patient care. The complexity of the department and the ADM position is evidenced by the multiple numbers of contractual reporting stakeholders, such as the University, Alberta Health and Alberta Health Services.

As the department is an academic medicine area multidisciplinary in research, teaching, and patient care, the ADM is required to be knowledgeable of policies and practices of the University of Alberta, Alberta Health (including Acute Care Alberta and Primary Preventive Health Services) and Alberta Health Services. The complexity of the department and the ADM position is evidenced by the multiple numbers of contractual reporting stakeholders such as the University, Alberta Health and Alberta Health Services. In addition, this role oversees the implementation and administrative management of the Academic Medicine & Health Services Program (AMHSP) - a province-wide contracted program among the University of Alberta, the University of Calgary, Primary and Preventative Health Services (PPHS), and AHS Medical Affairs.

1. Leadership, Strategic Planning, and Change Management

In support of the Academic Chair, the ADM leads the Department of Medicine in its strategic planning and implementation and leads the management processes to ensure critical finances, physical space, and teaching facilities are enhanced. The position requires a highly involved and capable leader for all strategic and change management initiatives impacting the delivery of administrative services to the Department.

2. Financial/Budget Management

The ADM provides leadership to the DoM Manager, Business Operations (MBO - Finance/HR), overseeing the MBO in the management and administration of the operating and research budgets, providing regular updates to the Chair and FGM.

3. Human Resource Leadership

The ADM provides strategic leadership in the administration of human resources of the Department’s academic faculty, administrative staff and learners.
In collaboration with the Service Partner (HR), provides advice and support to the Academic Department Chair, leaders and area supervisors on human resource issues (e.g. hiring, performance management, ER/LR).

4. Strategic Resource

  • Leads the implementation of the FoMD Strategic Plan related to department administrative activities.
  • Supports the Chair in the development and leads the ongoing implementation of the Departmental strategic plan.
  • Uses knowledge and understanding of the U of A, AMHSP and AHS Policies and Procedures and the U of A - AASUA and U of A NASA Collective bargaining agreements to provide advice to DoM leadership and supervisors.
  • Ensures the Academic Department Chair is provided with accurate and timely information for effective decision-making.

5. Relationship Manager

  • Maintains and develops a positive, productive and transparent relationship with the assigned Academic Department Chair.
  • Maintains a productive relationship with the Faculty General Manager, the Faculty Office and ADM colleagues.
  • Develops productive relationships with service partners assigned to the FOMD and collaborates with them to provide information and services to the Department of Medicine.
  • Builds productive relationships with partner organizations, stakeholders and client groups.
  • Demonstrates inclusivity in work processes and work teams. Actively seeks out and invites alternative viewpoints in planning, discussions, and decision-making. Recognizes and mediates or removes barriers to inclusive engagement.
  • Recognizes conflict and takes steps to address issues by mediating with involved parties.

6. Medical Education, Research and General Operations

  • The ADM provides strategic leadership and oversight in the administration of all medical education, research, communications, events, and facilities, including the:

  • Delivery of all DoM educational programs for undergraduate, postgraduate and graduate programs.

  • Stewardship of the various fellowship programs across the department.

  • Development and monitoring of learner statistics to identify trends, using information in strategic planning processes.

  • Provision of learner administrative services.

  • Oversight of the DoM Research & Graduate Education office, providing support to researchers in grant applications, ethics approvals, large multi-centre grant management and the appointment/reappointment of postdoctoral fellows.

  • Oversight of the Division Administration Team Lead (DATL) and the facilities team with respect to space allocation (offices and laboratories), furniture, office equipment, and control systems for risk management, access and security.

  • Development of proposals for the acquisition of new space and renovations to current infrastructure.

  • Coordination and compliance with the University Services, Operations + Finance, Space Planning and FoMD Facility Planning & Projects Offices.

  • Development of internal DoM communications and events aimed at networking, information sharing and fund development.

  • Minimum of a Bachelor’s Degree (Business recommended), Graduate degree preferred.

  • 7-10 years of Management/Supervisory experience, preferably in a University or large unionized environment.

  • Significant experience in strategic planning, project management, human resources, and financial analysis

  • Excellent written and oral communication skills.

  • Excellent organizational, interpersonal and critical thinking skills .

  • The ability to interact and/or provide advice and support to all organizational levels.

  • Strong facilitation, negotiation and problem-solving skills.

  • Excellent tact and professionalism to facilitate negotiation, conflict resolution, and handle highly confidential matters.

  • Ability to meet deadlines and prioritize work effectively.

  • Proficiency in the use of Google, Email, Internet, and PeopleSoft applications.

  • Experience or familiarity with the AMHSP is preferred.

This position has a comprehensive benefits package and an annual salary of $90,648 to $151,077.

The terms and conditions of this appointment are governed by Schedule F of the collective agreement between the Board of Governors of the University of Alberta and the Association of Academic Staff of the University of Alberta.
