Position Description

This Patient Care Information Coordinator position will be supporting both the Bone Health Clinic within the Division of Endocrinology and the ambulatory clinics for the division of Allergy/Immunology. This position will be responsible for the patient scheduling process and facilitate the delivery of patient care by providing a high level of support and assistance to patient cluster staff and patient/families. They will support the operation of the team/unit by providing clerical and administrative functions in a proactive and organized manner.

Here's What You'll Get To Do

  • Manage incoming referrals and schedule appointments within priority windows.
  • Answer phone calls and respond to requests for information from families and healthcare staff
  • Ensure related scheduling documentation is processed, organized, updated and available
  • Support clinical staff in organizing and storing materials that are utilized in the unit
  • Facilitate communication flow via telephone, paging, and computer access
  • Reschedule appointments as necessary and inform necessary people of these changes
  • Maintain appointment schedules on the computer system and notify patients/families of any updates or changes to their appointments
  • Collate clinical data and relay this information in a precise and timely manner to colleagues within and outside of the organization
  • Greet and orient patients and their families to the unit
  • Support registration and flow of patients within the clinic
  • Maintain an efficient and tidy work environment
  • Initiate and assist in the coordination of family/patient and health care professional education sessions and events
  • Communicate with inter-professional team members within and outside of the organization to coordinate the booking of Outreach visits
  • Act as the liaison for external hospital contacts

Here's What You'll Need

  • Bachelor's Degree in a related field (Medical Administration, Business Administration, Health Administration) preferred
  • Minimum of 3 years clerical or administrative experience in a health care setting. Experience in a hospital environment is preferred
  • Scheduling experience is essential and medical terminology is an asset
  • Accurate keyboarding skills and strong working knowledge of Word, Excel, PowerPoint, and Outlook
  • Experience with EPIC is an asset
  • Strong attention to detail
  • Excellent problem solving skills that demonstrate an ability to anticipate potential issues and make suggestions
  • Strong interpersonal, communication and organizational skills with both fellow colleagues and patients
  • Ability to remain focused and prioritize tasks in a busy and high stress environment
  • Dependability and good attendance
  • Demonstrates commitment and actions in advancing equity, diversity and inclusion objectives

Employment Type

  • Split position- 0.50 FTE Bone Health Clinic within the Division of Endocrinology & 0.50FT E ambulatory clinics for the division of Allergy/Immunology
  • Full-time, contract, 13 months
