About the role
As a Receptionist you will be the first point of contact for clients and other individuals at our Dixie main office. We are looking for a warm, non-judgemental and client-focused professional who will provide reception, administrative and general support services to staff and clients.
This is a 12-18 month full-time contract role covering a maternity leave
What you'll do
- Greet clients and visitors using the principles of the “Every Door is the Right Door” framework
- Handle incoming calls, route them appropriately, provide information as necessary and take telephone messages.
- Handle and distribute mail and faxes in a timely manner
- Administrative support such as filing, shredding, ordering office supplies, data entry and photocopying
- Maintain reception area including but not limited to – watering plants, ensuring office equipment is maintained, and purchasing supplies as needed
- Assist PAARC staff with meeting room bookings, ordering of food/refreshments, and taking meeting minutes
- Provide program and client support as needed including scheduling client appointments, maintaining supplies of program materials, update call logs and other documentation required of the program.
- Represent PAARC at all times in a professional manner
- Participate in PAARC All-Staff Events, meetings and training activities as requested
Requirements
- Relevant post-secondary education and previous experience as a receptionist/administrative assistant is an asset
- Computer literacy in Microsoft Word, Excel, Powerpoint and Outlook
- Familiarity with client databases an asset
- Demonstrated comfort in working with all people in varied circumstances
- Strong customer service ability who can communicate with tact and diplomacy
- Able to maintain appropriate constructive, open, honest, two-way communication with supervisor, colleagues, partners, suppliers, clients, and all visitors
- Professional with strong boundaries and a focus on confidentiality
Working Conditions
- Office environment, in person
- Hours: Monday, Tuesday, Thursday and Friday 8:30am-4:30pm. Wednesdays 12:00pm-8:00pm.
