About the role
HR Coordinator & Office Administrator
The HR Coordinator & Office Administrator supports both human resources and operational administration within a fast-paced security services environment. This role is critical in ensuring efficient recruitment, employee coordination, and smooth day-to-day office operations. The position works closely with operations, field staff, and People and Culture team to maintain staffing levels, compliance, and employee engagement across multiple sites.
This is a full-time position, Monday to Friday (excluding Statutory Holidays) from 8:30am - 5:00pm, based fully at our Kelowna Branch.

Human Resources Coordinator
- Support high-volume recruitment for security personnel, including job postings, screening, interview coordination, onboarding, and training
- Coordinate onboarding processes including orientations, uniform distribution, site-specific requirements, and offboarding processes
- Maintain employee records ensuring compliance with company policies and BC Employment Standards Act (ESA)
- Prepare employment contracts, offer letters, and HR documentation
- Review and action HR ticket requests including uniform, referral, leave requests, employee reimbursement, and security license renewal
- Respond to employee inquiries regarding HR-related matters like benefits, policies, etc.
- Prepare reports related to staffing, recruitment metrics, and operational needs
- Coordinate and plan employee recognition events, employee engagement initiatives, retention strategies, and office engagement activities
- Perform other duties as requested to assist with branch needs
Office Administrator
- Oversee daily office operations to ensure an organized and efficient work environment
- Respond to public inquiries with a high level of professionalism, handle incoming calls, and general inquiries from staff
- Manage booking for the office’s apartment suite and ensure suite is tidy prior to visitors arriving
- Manage office access control, office supplies, and vendor relationships
- Receive and distribute mail and inventory deliveries, and arrange for shipments and couriers
- Direct calls to appropriate employees; maintain phone lists and filing systems
- Manage uniform inventory, ensure uniform room is clean and organized, issue uniforms to security officers and collect uniforms from officers no longer with the organization to prevent risk of harm to the community.
- Receive, scan, and upload employee documentation to electronic personnel files.
- Assist with issuing final paychecks to employees
- Assist leadership with administrative tasks, reports, and documentation
Qualifications
- Preference given to applicants with a diploma in Human Resources, Business Administration, or related field
- Minimum 2 year of experience in Human Resources or related customer-focused work
- Experience in recruiting
- Knowledge of BC Employment Standards Act (ESA) and basic HR practices
- Strong computer skills, including Word, Excel, PowerPoint, Outlook, HRIS, and ATS
- Conflict resolution experience is considered an important asset
- Excellent verbal and written communication skills
