About the role
At Collective Arts Brewing, we’ve experienced a tremendous amount of growth as the direct result of increased efficiency and productivity. To continue on this trajectory, we are searching for a highly organized, proactive, and business minded Executive Assistant to support our CEO and Executive Leadership Team (ELT). This role will play a key part in keeping our strategic initiatives moving forward, managing our corporate scheduling, executive communications, and trademark administration. The ideal candidate will have proven experience in a business management role, who thrives in fast moving, creative environments and can act as both a strategic right hand and operational anchor to the CEO/ELT.
A typical day as an Executive Assistant includes:

Manage the CEO’s daily schedule, priorities, and communications to ensure the most efficient use of time.

Support strategic initiatives, through project planning through to execution and follow-up, acting as the link across departments
-
Work with the CEO/ELT to prepare executive level reports, presentations, and communications that capture insights, track milestones, and drive accountability.

Maintain trademark databases and liaise with legal and internal partners on renewals and filings.
-
Handle confidential information with discretion while maintaining professionalism and judgment.
-
Anticipate executive needs and proactively identify opportunities to optimize time, improve communication, and strengthen processes.

Partner with HR, Finance, and other senior leaders to support annual planning cycles, performance reviews, and other executive initiatives.

Other duties as assigned
How your time will be organized:

Executive Support & Coordination (40%): Working directly with the CEO to manage their calendar, attend meetings, and correspondence; prepare materials for internal and external meetings and support ELT meeting cadence and follow ups.

Strategic Projects & Corporate Planning (30%) Support the execution of company-wide strategic projects, helping translate top-level goals into actions, tracking progress, and ensuring alignment across departments.

Corporate Scheduling & Annual Calendar (20%): Work with internal teams to manage the company’s annual corporate calendar including but not limited to annual planning cycles, offsites, key events, and milestone reviews ensuring consistency

Administrative Operations & Governance (10%): Maintain trademark records and filings, liaising with internal and external teams as needed to ensure compliance and brand protection. Work with the Finance team to manage provincial and state filings.
We are looking for candidates who have/are:

3+ years of experience supporting C-suite or senior executives in a fast-paced, dynamic environment. Previous CPG industry experience is preferred

Proficiency in Microsoft Office Suite, Canva, Google Workspace and other software applications is a must have
-
Strong project management and organizational skills able to handle multiple priorities while maintaining attention to detail.

Excellent written and verbal communication skills with the ability to synthesize information for different audiences.

Demonstrated success in building systems, managing complex calendars, and driving follow-up on action items.

Discretion and sound judgment when managing sensitive company and personal information.

An appreciation for creativity, collaboration, and a hands-on approach to getting things done.
