About the role
Position: Sales Admin
Report to: Sales Admin Lead (day-to-day), with overall direction from Senior Sales Manager
Department: Sales
Hours: As required
Primary Function: The Sales Admin provides administrative and operational support to the Sales team by executing structured, detail-oriented tasks. This role ensures system accuracy, supports event coordination, and maintains efficient workflows across sales operations.
This position serves as an entry point for the Sales team, offering foundational experience and exposure to systems, client coordination, and event execution, with opportunity to progress into the Sales Admin Lead role.
Duties and Responsibilities:
Group & Booking Administration
- Prepare and maintain rooming list templates, including entry into Opera and ongoing updates
- Manage group blocks, process deposits, and update systems (G3, TS)
- Create and maintain group rate codes and booking links
Tour & Site Coordination
- Coordinate lunch tours including availability checks, confirmations, and tracking guest details
- Coordinate site tours including scheduling, property communication, reservations, and system updates
- Track guest counts, menu selections, and dietary requirements
Sales Support & Reporting
- Support show preparation and follow-up including reports, meeting notes, and data entry
- Maintain attendee lists and documentation (CASL compliance)
- Prepare and distribute rooming list reports
System & Data Management
- Maintain CRM (TS) including accounts, contacts, and notes
- Save and organize contracts, event materials, and documentation
- Enter new inquiries into TS as leads for Sales Managers
Administrative Support
- Monitor Events email inbox and distribute inquiries as needed
- Record and distribute meeting notes
- Update Sales Manual and internal documents
- Manage group feedback including follow-ups and file closure
Tour Series Management
- Enter and manage tour series in TS and Opera
- Process cancellations and cross-check with partners (e.g., Tauck, Emerald Tours, Backroads)
On-Site Event & Sales Exposure
- Assist with on-site events, including client events, FAMs, and BDT initiatives, to support execution and enhance the client experience
- Participate in SITE tours and property visits to build product knowledge
- Support the Sales team during event execution as required
- Gain exposure to client interactions and sales coordination processes
Requirements/Experience:

Strong attention to detail and organizational skills

Ability to manage multiple tasks and deadlines

Strong written and verbal communication skills

Experience with hotel systems (Opera), CRM platforms is an asset

Ability to work in a fast-paced, team-oriented environment

Flexibility to work evenings, weekends, and travel between properties as required

Valid driver’s license required
