About the role
The Wood Automotive Group is looking for a Corporate Administrative Assistant to join our Head Office team! This is a temporary contract to cover a maternity leave for 12 months. We are seeking a detail-oriented and organized individual to support daily office operations. This role requires strong administrative skills, the ability to manage travel arrangements, and experience handling company-issued mobile devices and related contracts. The ideal candidate is proactive, reliable, and able to manage multiple tasks efficiently.
The ideal candidate will have at least five years’ administrative experience with strong communication skills, and the ability to prioritize and adapt when handling multiple tasks. Superior organization and a strong background in Microsoft Office Suite are also required.
Key Responsibilities
- Coordinate and book domestic and international flights, hotels, and transportation for employees as needed
- Manage company cell phone distribution, including inventory tracking, setup, upgrades, and returns
- Handle mobile phone contracts and work with service providers to resolve billing or service issues
- Maintain accurate records for cell phone assignments, and contracts
- Provide general administrative support such as document preparation, and scheduling
- Answer and direct phone calls, emails, and other correspondence
- Order office supplies and coordinate with vendors as needed
- Coordinating meetings (Food orders, room bookings, necessary AV equipment)
- Support Executive staff as required, event planning, and acting as a back-up to the Executive Assistant to the President
Qualifications
- Proven experience as an Administrative Assistant or in a similar role
- Experience booking business travel and coordinating logistics
- Familiarity with managing company cell phones and service contracts preferred
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Outlook, Word, Excel) or similar tools
- Ability to handle sensitive information with confidentiality

Requirements
- Valid AB driver’s license and a clean driver’s abstract
- Strong background in Microsoft Office Suite
