THE OPPORTUNITY ACADEMIC SERVICES COORDINATOR

Reporting to the Manager, Ridge Meadows College (RMC) and under the direction of the Program Chairs, the Academic Services Coordinator provides assistance, advice, and guidance to support the administrative needs of the academic department. The Coordinator develops and maintains academic resources, schedules courses, assists Program Chairs with instructor hiring and course assignments, updating the learning management system, coordinating instructor course contracts and other related duties.

RESPONSIBILITIES

  1. Coordinates and delivers a complete course schedule for every semester. This includes coordinating instructor availability, room use and distribution of the schedule to students.
  2. Provides primary administrative services for instructors.
  3. Assists Program Chairs with hiring of instructors, obtaining new hire paperwork, training instructors on use of the learning management system, and assisting instructors with troubleshooting of technology and systems.
  4. Assists Program Chairs with scheduling for contract training, including current contracts with provincial and federal corrections departments.
  5. Updates Learning Management System every semester by importing course content into current course sections. Assists instructors with updating of learning management system as required.
  6. Oversees and distributes student satisfaction surveys and instructor course evaluations.
  7. Creates new programs and courses within student information system as needed and ensures all information for existing courses remains current.
  8. Takes on supervisory oversight of administrative support staff outside of regular office hours, or as needed in the absence of the Manager, including on Saturdays.
  9. Performs research and assists with curriculum for new program development.
  10. Coordinates with tech support on issues involving the learning management system for students and instructors.
  11. Supports quality assurance and accreditation efforts.
  12. Assists and coordinates instructors engaged in new course development
  13. Assists with the organizational efforts for annual graduation ceremony.
  14. Completes assigned reports and standardized forms.
  15. Provides exam invigilation for instructors and students as may be required.
  16. Takes minutes during faculty meetings.
  17. Performs other related duties as required

QUALIFICATIONS

  1. Successful completion of Grade 12 plus two-years of post-secondary education in the field of communications, administration, business development, HR or equivalent.
  2. A minimum of 2 years of experience in a post-secondary or teaching environment, or equivalent combination of training and experience.
  3. Proven interpersonal, organizational and communication skills, with demonstrated ability to problem-solve and address conflict with tact and discretion.
  4. Strong computer literacy with Microsoft Office, WordPress for website maintenance, student information systems, and social media platforms. Knowledge of Moodle is an asset.
  5. Current knowledge of best practices within the field of academics including issues around plagiarism, academic integrity and international students.
  6. Current knowledge of relevant agencies, programs, and school and community resources.
  7. Ability to facilitate services effectively, professionally, and collaboratively with staff, students and instructors.
  8. Demonstrated ability to work at a level of independence and with the degree of initiative appropriate to the position.

COMPENSATION

This is a 0.5 FTE position, effectiveAugust 4, 2026. The salary range for this position is $31,638 - 37,221, prorated based on a 0.5 FTE.
