A Day in the Life of a Branch Operations Coordinator - ASB

The Branch Operations Coordinator provides direct management and program support across a broad range of matters related to the roles and responsibilities of the Senior Vice President (SVP) of Accreditation Services and the associated management team. The role ensures effective communication, coordination, and information exchange within the team and across SCC branches, supporting the advancement of branch priorities and the achievement of corporate objectives.

  • Post-secondary education in relevant area, coupled with recognized experience

Experience and Skills

  • Minimum 3 to 5 years of providing administrative support
  • Experience doing research and analyzing information
  • Experience composing, proofreading, and correcting correspondence
  • Experience generating and editing various types of reports
  • Experience in managing a budget
  • Knowledge of the theories and principles of composition of business or technical writing, generally accepted administration practices, time management and priority setting
  • Knowledge or organizational methods, techniques and practices in logistics and planning techniques and best practices to support the execution of a variety of events
  • Strong communication skills – verbal and written
  • Strong organizational and prioritization skills
  • Strong commitment to customer service
  • Effective interpersonal skills
  • Advanced computer skills including Microsoft Office applications

Key Activities

  • Manages operational, day-to-day requirements of branch activities. Activities may include but are not limited to responding to phone calls and emails on behalf of VP and/or the management team; preparing briefing materials; processing expenses; making travel arrangements; responding promptly to branch queries, etc.
  • Contributes to branch operations by organizing meetings, setting agendas and reporting on same, ensuring minutes and action items are appropriately distributed; controlling correspondence and maintaining clear and accurate operations documents/procedures for reference purposes within branch and aligned with quality management system. Provides advice and counsel to senior management on priorities, issues and responses.
  • Serves as the direct support for the VP, meeting regularly with the VP to review short and long-term goals and to develop plans to meet these goals. Anticipates VP’s needs and oversees the management of the VP’s calendar and workload by establishing priorities; ensuring that the VP is regularly informed on daily, weekly and monthly priorities and that the organization of her/his time is efficient and effective.
  • Acts the point of contact between SCC executives and employees and/or external stakeholders as identified.
  • Facilitates internal communication (e.g. distribute information and schedule presentations) among team members and across SCC branches.
  • Collects, gathers intelligence and analyzes information, produces reports summarizing information, identifying trends.
  • Assists management team in day-to-day coordination and management of branch operational activities, helping to prioritize and expedite workflow and contributes to team effort by conducting follow-up and completing tasks.
  • Evaluates current operational performance and suggest more efficient ways to run the branch operations and/or resolve operational processes while still following standard operating procedures.
  • Coordinates activities with respect to procurement and IM/IT equipment needs to ensure delivery of supplies and equipment in a time efficient manner.

Typically to be eligible for a "Secret" clearance, you must have five years of verifiable background information and to be eligible for a "Secret" clearance, you must have 10 years of verifiable background information. The process usually involves reference inquiries, verification of qualifications, criminal records checks, and credit checks (as required) and may require fingerprints.
