Position Summary

Support Staff Temporary Part-time New Position (September 16, 2025 to December 11, 2025)

The Part-Time Client Services Assistant, Massage Therapy Clinic will act as a front-line resource for all clinic reception services for public clients, students, placement sites and other college departments relating to the field placement stream of courses. The successful candidate will ensure to deliver exceptional client care experiences and administrative functions related to the field placement environment. The successful candidate will facilitate student training in clerical tasks such as client booking, payment processing, and client communications.

Successful candidates must be available to work on-site at the Doon campus, located at 299 Doon Valley Drive in Kitchener. The Part-Time Client Services Assistant will be scheduled to work Tuesdays, Wednesdays, & Thursdays from 11:30 am to 7:00 pm from September 16, 2025 to December 11, 2025, with the exception of Student Success week in October.

Responsibilities

  • Act as the first point of contact for clients, students, and placement sites
  • Conduct client check-in, check-out, bookings, and rescheduling
  • Process payments and report to finance
  • Liaise with clients via phone and email regarding appointments and information about the clinic
  • Coordinate training for Massage Therapy (MT) students; includes job shadowing, observing and performing administrative functions
  • Populate social media accounts in compliance with regulations of College of Massage Therapists of Ontario
  • Schedule clinical rotations and coordinate training on administrative tasks for students
  • Coordinate linen service and review supply inventory
  • In conjunction with the Manager, liaise with outreach sites to remedy any scheduling issues and/or direct to the appropriate faculty resource
  • Collaborate with marketing and other College departments to promote the student clinic
  • Maintain client and business records in accordance with the Standards of Practice for Massage Therapy in Ontario
  • Collect medical and personal information
  • Generate compliance reports using the “Jane App” system as needed by College departments
  • Track student field placement hours and remediation hours
  • Track specialized client populations in clinical environments

Qualifications

  • Minimum two-year diploma in Health Office Administration, Medical Office Administration, or a related field of study is required
  • Minimum two years of experience in a healthcare environment is required
  • Knowledge of PIPEDA/PHIPA
  • Customer service skills
  • Excellent organizational skills
  • Experience in a clinical education environment is considered an asset
  • Experience in a teaching/training role is considered an asset
