IT Projects & Solutions Coordinator

Reporting to the Chief Information Officer (CIO), the IT Project & Solutions Coordinator provides project coordination and business analysis services for IT Services projects of varying complexities, including system implementations, integrations, upgrades, and process improvements. Utilizing a service excellence approach, this role works with internal stakeholders and external vendors to gather requirements, document business processes, coordinate project activities, and ensure successful delivery of technology solutions. The IT Project & Solutions Coordinator works collaboratively with project teams to translate business needs into technical solutions and ensure strategic initiatives are completed effectively.

Main Duties and Responsibilities

  • Project Coordination and Delivery Support Working within project management methodologies, this role coordinates project activities, manages timelines and tasks, and ensures stakeholders remain informed throughout the project lifecycle. The IT Project & Solutions Coordinator acts as a central point of contact for project status, changes, and documentation:

  • Coordinates project planning and execution by assisting with development of project scopes, schedules, and timelines, monitoring status to ensure completion within deadlines and quality standards, and working with the IT Leadership to identify and resolve resource constraints and dependencies

  • Manages project documentation and tracking in Jira including issues, tasks, user stories, and sprint activities, while coordinating development and review of project deliverables such as specifications, test plans, and training materials

  • Facilitates stakeholder coordination and communication by organizing meetings, user acceptance testing, and training sessions, communicating project progress and changes in a timely manner, and liaising with departments, schools, and external partners to resolve issues

  • Business Analysis and Requirements Management: Collaborating closely with the IT Leadership, internal departments, and external vendors, this role ensures technology solutions meet business needs through comprehensive analysis and stakeholder engagement. Key responsibilities include requirements gathering, processing documentation, stakeholder consultation, and translation between technical and non-technical audiences:

  • Conducts requirements gathering and stakeholder engagement through facilitation of meetings, workshops, and sessions across the College to understand business needs, elicit requirements, validate solutions, and build consensus

  • Documents and analyzes business processes by mapping current state workflows, conducting process reviews, and identifying opportunities for improvement and impact of proposed changes on existing systems and users

  • Develops comprehensive requirements documentation including user stories, acceptance criteria, and functional specifications that translate technical concepts into accessible language for non-technical stakeholders

  • Other Duties: performs other related duties as assigned by supervisor.

Skills, Knowledge, and Abilities

  • Strong analytical and problem-solving skills with attention to detail and accuracy.
  • Proficiency with Jira for project tracking and issue management.
  • Demonstrated ability to work independently, as well as lead a team to support project delivery.
  • Excellent organizational skills and the ability to set priorities when encountering conflicting demands.
  • Understanding of software development lifecycles and implementation processes.
  • Experience creating business process documentation, requirements specifications, and user stories.
  • Excellent written and verbal communication skills, including the ability to communicate complex technical concepts to non-technical audiences.
  • Excellent interpersonal and collaborative skills with diverse stakeholders.
  • Strong customer service, facilitation, and conflict resolution skills.
  • Proven ability to coordinate multiple projects within timeline constraints in multiple project management environments (ie Agile/scrum, waterfall).
  • Demonstrated experience gathering and documenting requirements with diverse stakeholders.
  • Experience working with cross-functional teams and translating between technical and non-technical audiences.
  • Demonstrated ability to learn new software tools and systems independently from documentation, training materials, and hands-on exploration.
  • Excellent attention to accuracy, detail, process, and confidentiality.
  • Tact, diplomacy, and good judgement when navigating complex stakeholder environments.
  • Commitment to continuous learning and professional development in IT project management and business analysis practices.

Education and Experience

  • A combination of a Diploma in Business Administration, Information Technology, Information Systems, or another relevant field.
  • Minimum four years of related work experience in IT environments providing project management support for software or technology projects; or acceptable combination of equivalent education and experience.
  • Professional certification in project management (CAPM, PMP, Certified Scrum Master
  • Experience with project management or collaboration tools (Confluence, Microsoft Project, etc.)
  • Familiarity with post-secondary IT environments.
  • Experience with change management methodologies and user adoption strategies.
