Job Description
YWCA Crabtree Corner houses many programs and services under one roof, to help marginalized women and families living in Vancouver's Downtown Eastside be healthier, safer, less isolated and empowered to make positive choices. We are seeking part-time administrative support for the Associate Director.
What you’ll be doing:

Organizing and scheduling meetings/appointments using Outlook, Teams and Zoom
-
Preparing agendas and detailed and accurate minutes. Assisting with items that require attention and follow up between meetings.

Assisting in the preparation of scheduled Executive and Board Reports
-
Developing and maintaining a SharePoint database filing system
-
Maintaining contact lists, staff lists, equipment lists and training lists for large team
-
Reconciling and submitting monthly expense reports if required
-
Arranging training and team building events for staff / management
-
Assisting Program Coordinators with data entry and compilation of participant surveys to enable clear and thorough reporting.

Ordering and retrieving gift cards and bus tickets from YWCA Program Centre
-
Prepping purchase requisitions and cheque requisitions
-
Updating bulletin boards and informational displays
-
Supporting reception as required
-
Other duties as required
What you’ll need:
-
Excellent interpersonal skills with the ability to work well with others
-
Strong organizational and multi-tasking skills with the ability to be flexible as needs arise
-
Good time management skills
-
Ability to work independently to meet deadlines
-
Competency in Microsoft Outlook and Microsoft Office package.
-
Exposure to SharePoint, OneDrive, Teams, Zoom, Relias Training is an asset.
-
Previous experience as an Administrative Assistant is an asset
-
Familiarity with the Downtown Eastside Community and its resources is an asset
-
A valid clear criminal record check (including working with vulnerable populations) is required.
