About the role

Reporting to the Managers of Operations at CSSC, the Facility Coordinator (FC) position will have a direct impact on our players and have a pivotal role in assisting with behind-the-scenes league management tasks for the Calgary Sport and Social Club.

This role is key to supporting the achievement of our overall organizational goals and ensuring we offer the best Adult Recreational Sports leagues across Alberta. The FC will oversee league administration items, facility coordination, and customer service in addition to managing special programs.

Position details are listed below:

Facility Coordination:

  • Work with Facility Manager of League Operations (MLO) on facility improvements and planning
  • Research gym/field availability
  • Responsible for assisting with gym/field cancellations
  • Proof and input gym and field bookings into database
  • Manage administrative tasks related to facilities including permits, payment files, and booking files
  • Manage schedule change process with assistance from the MLO
  • Communicate schedule changes or updates with teams
  • Manage facility issues process
  • Player refund management
  • Assist with on-site facility visits
  • Work on facility-specific improvements and projects
  • Other duties or projects as assigned

League Administration:

  • Manage registrations, scores and standings through our database & website
  • Be the schedule lead for the leagues administrative team
  • Create, post, and communicate league schedules
  • Support sport nurturance and improvement initiatives
  • Oversee the management of special programs
  • This may include: Birthday and Anniversaries, Corporate Leagues and Drop-in Programming

Customer Experience:

  • Assist management with sport and league improvement initiatives
  • Enhance the player experience by researching player needs and implementing advancements
  • Find new ways to improve the overall player experience
  • Manage survey deployment and analyze survey results

Job Requirements:

  • Degree or Diploma from a recognized University or College
  • Strong written and verbal communication skills
  • 1-2 years of experience in an office setting
  • High organization
  • Driven and goal oriented
  • Ability to work in a fast-paced environment
  • Extremely high attention to detail
  • High level of computer competency with Microsoft Office suite (Outlook, Word, Excel)
