About the role

Graduate Awards Officer

Primary Purpose: To deliver exemplary program coordination and support in a team environment, managing internal and external award and scholarship programs and competitions. The work is student-focused, and includes various interactions with students, faculty, and staff in furthering the overall objectives of the CGPS as it relates to supporting student success in scholarships and awards competitions.

Nature of Work: Reporting to the Director, Graduate Scholarships and Awards Services, this position provides operational and strategic support for graduate awards administration. The role involves high-volume, fast-paced tasks requiring the ability to manage multiple deadlines and detailed responsibilities. The individual will have daily contact with students, faculty and/or staff within the graduate academic units, as well as many other on-campus supports/services, and external funding agencies, therefore needs to demonstrate exceptional professionalism, collaboration and problem-solving skills. An in-depth knowledge of graduate award policies, including national Tri-Agency awards, is required to perform regular duties. The individual must make independent decisions, exercise sound judgment, and ensure strict attention to policy details while consulting a supervisor for more complex issues.

Typical Duties or Accountabilities:

  • Provides interactive, high-quality customer service to USask graduate students, faculty, and staff
  • Coordinates expert planning, logistical, communications and other support for multiple campus-wide workshops in furtherance of CGPS strategic goals as they relate to the portfolio
  • Advises students on the administrative requirements for preparing application submissions; coordinates and reviews applications for consistency, accuracy, and completeness; monitors compliance with agency and university regulations regarding funding submission and verifies that all sponsor requirements are met
  • Responds to inquiries and provides advice to students and faculty campus wide regarding policies and procedures for numerous awards; effectively communicates expert knowledge of policies and procedures of numerous scholarship and award programs
  • Creates online scholarship applications, tracks and manages application data in purpose-built system
  • Independently oversees the compilation of eligible applications, prepares adjudication packages, gathers reviewers’ feedback, ensuring consistency and quality control
  • Liaises and coordinates with the Awards Committee, schedules meetings and takes minutes
  • Implements the day-to-day operations required to support scholarship recipients. This includes communicating effectively with students and their units about competition decisions, ensuring scholarships are administered according to funder and university policies, setting students up on payroll, and ensuring the student remains in compliance for the duration of their scholarship/award
  • Participates in initiatives and continuous improvement processes which drive student success rates and enhance their experiences
  • Provides and leads project support to the Director, as required

Education: A university degree in an associated discipline, such as business, is a requirement. An equivalent combination of applicable education and experience will be considered for this position.

Experience: The position requires a minimum of five (5) of experience in supporting scholarship applications and post-award administration, ideally within a diverse and inclusive environment. Candidates should have a thorough understanding of USask policies, particularly those related to academics, and experience in student-focused financial and advisory roles. Knowledge of Tri-Council programs is a significant asset. Experience with UNIFI, FAST, Degree Works, PeopleSoft/About US, and payroll systems is preferred.

Skills: Strong team focus with a results-oriented approach, effective interpersonal and communication skills, both written and verbal, proficient proof-reading skills, demonstrated ability to maintain attention to detail and apply critical thinking skills, effective organizational and time management skills, proven ability to work on multiple projects with competing demands to meet deadlines, ability to logistically track and follow up on action items with regard to award administration, ability to work independently with minimal supervision, adaptable to new software systems and evolving processes, and proficient in the use of Banner and Microsoft Office applications, especially Excel.
