Position Summary
The Gift Administrator position is responsible for ensuring pre-authorized donations from all offline sources (Direct Mail, Telemarketing and Face to Face campaigns) are set up, processed and cancelled while maintaining integrity of donors and their financial information in Raiser’s Edge (RE). The incumbent is responsible for regular updates of active monthly donation files as per new initiative related to aligning fundraising data with financial data for Integrated Marketing team. Additionally, from information provided by the payroll manager, this incumbent administers staff payroll contribution in Raiser’s Edge (RE) to allow those who seek accurate staff giving information is available.
The incumbent is also responsible for generating accurate CRA compliant consolidated annual tax receipt data files for all donors as well as replacement receipts for fulfillment house while ensuring data accuracy and integrity is maintained.
Position Requirements
Data entry, gift processing and receipting.
- Accurate and timely downloading of encrypted files from vendors, data entry, gift processing, make up payments, and any pause or cancellation of recurring preauthorized donations from mailed-in reply coupons, internal files, other fundraising channels such as Telemarketing and Face to Face campaign vendor files.
- Perform regular validation and reconciliation between data files from vendors and recorded data in Raiser’s Edge.
- Perform quality checks on data files from third party fundraisers and provide regular status reports to internal team and management.
- Proactively engage with internal stakeholders in Marketing & Development and vendors related to data files and processes before launch of new campaigns and during the active periods of respective campaigns.
- Adheres to internal PPSGs, external regulations and compliance requirements when processing and allocating revenue.
- Issuing and generating CRA compliant tax receipts files annually for consolidated receipts, cancelled receipts, and ad hoc receipts from Face-to-Face campaigns.
- Create and update import file templates from various sources for RE using either RE Import module or 3rd party product such as Import O’Matic.
- Create, update, and terminate staff payroll contributions in RE based on information provided by Payroll Manager twice a month.
- Ensuring daily reconciliation of recurring gifts, 3rd party designated donations data recorded in RE and bank are completed, and any discrepancy resolved.
Reports, Training and Process Improvement
- Provide scheduled and ad hoc revenue stats on monthly recurring donations and their trends for senior team.
- Provide training to staff and other Gift Administration staff on recurring gifts related processing and receipting.
- Identify process challenges and recommend solutions that provide efficiencies, remove redundancies, avoid errors, and implement new solutions related to gift processing.
- Analyze existing organizational processes to identify areas for automation and improve efficiencies.
- Develop and implement scripts or automation workflows using programming languages such as Python or automation platforms (Power Automate, Zapier).
PPSGs and manuals
- Updating Data Entry guide, Gift Entry Manual, PAP Manual, and End to End procedure document as well as creating new procedure documents as needed.
- Updating and creating PPSGs related to recurring gifts and providing suggestions for areas outside of recurring gifts.
Other Support functions.
- Assist other staff and other areas of gift administration.
- Working closely with Senior Gift Administrator, Digital Marketing and assist in Online gift processing; Gift Administrator, Major gifts and assist in Major gifts processing; Gift Administrator, Annual Giving and assist in annual gifts processing and receipting and Gift Administration Assistant and provide back up during absences.
- Assist in Annual Financial audit and Annual Charities Return preparation.
- Other ad hoc projects and duties assigned by Manager, Gift Administration, Director Gift Administration and/or Chief Financial Officer.
- Assist in overseeing volunteers or temporary staff including interns and general administrative duties as required.
Required Skills and Attributes
- Bachelor's degree or college diploma in Computer Science, Information Systems, Business Administration, or related field.
- Basic proficiency in programming languages such as Python, JavaScript, or similar would be an asset.
- Experience with data analysis and visualization tools (Excel, Power BI).
- Proficiency in Microsoft Office applications (Outlook, Word, Excel, and Power Point).
- 2-4 years of experience in Raiser’s Edge or other non-profit databases, and other data integration tool such as Import O’Matic.
- Excellent knowledge of Canada Revenue Agency’s gift receipting requirements.
- Highly organized and detail oriented with high level of accuracy and ability to work independently.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Familiarity with fundraising and accounting practices and procedures.
- Flexible and able to work under pressure and ability to meet deadlines.
