Temporary Full-Time Licensing Administrator
About the role
Reporting to the Supervisor, Licensing Services or designate, examine, interpret and process business, taxicab, lottery and pet licence applications, circulate and track applications for comments from other City Departments and external agencies, coordinate inspections where applicable and administering functions related to Vital Statistics.
Responsibilities:
- Duties include responding to public inquiries and handling customer complaints
- Receiving, examining, and processing business licenses and taxicab licenses
- Acting as the local agent for the Alcohol and Gaming Commission of Ontario (AGCO) by performing all functions related to the issuance of lottery licenses and coordinating records related to the issuance of Municipal Clearance Letters for liquor licensing
- Acting as Deputy Division Registrar for the province of Ontario and administering functions of the Vital Statistics Act related to marriage licensing and death registration
- Administering the City of Oshawa Animal Licensing program; processing cash transactions
- Support and demonstrate the City of Oshawa core values of Authenticity, Courage, and Trust
- Other duties as assigned
Requirements:
- Demonstrated knowledge and skills of associated with the completion of a two (2) year college diploma in office administration, municipal administration, law or a discipline related to municipal law enforcement and licensing, plus a minimum three (3) years of relevant office and customer service experience preferably in a licensing or law enforcement environment, or have the equivalent combination of education and relevant experience
- Established skills and experience in Microsoft office and related software applications
- Experience using a cash register and knowledge of proper cash handling procedures
- Knowledge of the Marriage Act, Vital Statistics Act, and City Licensing by-laws an asset
- Excellent administrative skills
- Good mathematical skills
- AMCTO certification is preferred
- Excellent customer service experience and good communication skills to deal effectively with the general public, other levels of government and staff and an ability to respond to inquiries by telephone, in person and in writing
- Possess personal qualities of maturity, tact, and discretion and have a willing and cooperative attitude
- Excellent interpersonal skills with the ability to establish and maintain good working relationships
- Ability to work independently, quickly and competently with frequent interruptions in a multi-tasked environment and to maintain confidentiality of information
- Keen sense for accuracy and attention to detail
