Position Summary
The Municipal Works Analyst is responsible for providing administrative and operational support to municipal works and infrastructure department projects and services. This role is responsible for data entry, documentation, balancing, recording and submission of departmental invoices and p-card reconciliation. The Municipal Works Analyst works closely with internal teams and provides general support to ensure compliance with procedures and service standards.
Key Responsibilities
- Responsible for collecting and organizing data related to municipal works and infrastructure operations, including maintenance records and service requests.
- Provide administrative support for municipal works and infrastructure programs by preparing reports, tracking project updates, and maintaining accurate records.
- Support the coordination of municipal works and infrastructure programs by scheduling meetings, assisting with work orders, and organizing materials.
- Respond to inquiries from municipal works and infrastructure department and other municipal divisions.
- Responsible for monitoring and ordering safety and equipment supplies. Respond to vendor inquiries.
- Support compliance efforts by ensuring documents and reports align with municipal regulations and policies.
- Provide assistance in tracking budgets, expenditures, and operational costs as directed.
- Conduct basic research on municipal infrastructure programs and services to support decision-making.
- Conduct monthly p-card reconciliations for municipal works and infrastructure department.
- Responsible for petty cash reconciliation and deposition.
- Serve as the accounts payable system invoice administrator for the municipal works and infrastructure department.
- Replace municipal works dispatcher when required.
- Assist with public engagement initiatives by preparing informational materials and responding to general inquiries.

Position Requirements
Education & Certifications
- Post secondary certificate/diploma in Business Administration, or related field.
Experience
- Minimum 1 years of experience in municipal operations, infrastructure planning, or data analysis related to public works.
Knowledge, Skills, and Abilities
- Administrative Support: Strong organizational skills for maintaining records, scheduling, and coordinating basic municipal works activities.
- Data Entry & Record Keeping: Ability to accurately input and track information related to public works projects and services.
- Customer Service: Strong interpersonal skills to respond to public and staff inquiries professionally.
- Communication: Effective verbal and written communication skills for reporting and coordinating with internal teams.
- Technical Proficiency: Experience knowledge of Microsoft Office applications (Word, Excel, Outlook) and familiarity with database management. As part of the interview process, selected applicants will be tested in Excel and must achieve a score of 70% or higher to move to the next stage of the recruitment process.
- Problem-Solving: Ability to identify minor operational challenges and coordinate appropriate responses.
- Attention to Detail: Strong data entry and record keeping skills to ensure accurate documentation, reporting, and record management.
- Collaboration: Ability to work effectively within a team and provide support as needed.
Working Conditions
- Work is primarily office-based, with some travel required to support field operations or conduct site visits.
- Standard business hours, Monday to Friday
- Cognitive demands include ensuring accuracy in data collection, reports, dashboards, and analyses.
- Physical demands include extended periods of sitting and looking at a computer screen, as well as minimal lifting or handling of documents, supplies, and equipment as needed.
If selected for this role, you will need to provide:
- Successful reference check (two work-related references, with a minimum of one being a direct supervisor)
- Satisfactory Criminal Record and Judicial Matters Check
- Proof of certifications
