Executive Assistant
About the role
The Assistant is an integral part of the Corporate Team. They will work closely with the President, act as a point of contact and is responsible for managing the schedule and communications while delivering high quality and error free administrative support. Using independent judgment and discretion, this position will implement and apply NAC policies and processes in response to requests for information and assistance on a variety of highly responsible, confidential, senior and complex executive administrative duties. In addition to providing expertise and administrative support on matters relating to the proposal process to ensure accurate and timely responses to comprehensive Requests for Proposals and related documents.
Position Responsibilities:
- Provide sophisticated calendar management for President. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
- Complete a broad variety of administrative tasks that facilitate the President & VP’s ability to effectively lead the Corporate group of departments, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; coordinating travel arrangements; and completing expense reports
- Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the President, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgement to reflect President’s style and organization policy
- Work closely with the President to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate requirements in advance of meetings, conferences, etc
- Maintain open communications with the Corporate Management Team, including meeting regularly and providing information and documents as needed
- Coordinate meetings and events and assist with staff meetings and events as needed
- Be the point of contact and provide a bridge for smooth communication between the President and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team
Requirements:
- Post-secondary education (college diploma or university degree) in a related discipline (business administration, marketing, finance)
- Possess superior computer skills, including advanced proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint) with the ability to create professional documents, spreadsheets, and presentations
- Excellent written and oral communication skills with the ability to communicate with clients, businesses, and all levels of staff; strong editing skills with a keen eye for detail
- Well-organized, skilled in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously
- Considerable experience providing administrative assistance to an executive or senior level management position (experience working in the construction industry or municipal environment is an asset)
