Role Overview: This Specialist is the operational backbone of the Talent Acquisition function at WestJet , ensuring recruitment processes, systems, and reporting operate with discipline, compliance, and efficiency. This role audits and optimizes recruitment workflows, manages data integrity, and leads continuous improvement initiatives across all TA portfolios. Acting as a key connector between TA delivery teams, Program Managers, and People Technology, the Specialist ensures recruitment activities are standardized, measurable, and scalable.
Key Accountabilities: Process Excellence & Continuous Improvement
- Partner with TA Leads to assess recruitment workflows, identify gaps, and implement improvements aligned with ATS capabilities (Dayforce).
- Develop and maintain SOPs, recruiter playbooks, and templates ensuring policy, legal, and regulatory compliance.
- Conduct regular process audits to ensure adherence to hiring compliance requirements including background checks, data privacy, and record retention.
- Coordinate TA enablement sessions to communicate updates, share best practices, and reinforce process adoption
- Ensure TA processes align with company policies, employment legislation, and unionized workforce requirements where applicable.
Systems Optimization & Technology Enablement
- Act as the functional SME for the Dayforce Recruiting module.
- Partner with People Technology to test, implement, and optimize system updates and integrations.
- Develop user training materials and support recruiter and hiring manager adoption.
- Provide first-level support for system issues and manage Dayforce approval workflows.
- Represent Talent Acquisition in People Technology forums and cross-functional initiatives impacting recruitment.
Reporting, Analytics & Data Integrity
- Build and maintain TA dashboards and reporting frameworks tracking KPIs such as time-to-fill, requisition load, pipeline health, and candidate experience.
- Partner with People Analytics to ensure accurate data flow and alignment with enterprise reporting standards.
- Provide insights and trend analysis to support TA leadership decision-making.
Experience and qualifications:
- 5+ years of experience in Talent Acquisition or a related function.
- Hands-on experience with the Dayforce Recruiting module, including workflow support, troubleshooting, and process optimization.
- Strong understanding of recruitment operations including process standardization, compliance, data integrity, and reporting.
- Experience creating SOPs, templates, training materials, and recruiter enablement resources.
- Demonstrated ability to identify process gaps and implement scalable improvements.
- Strong analytical skills with experience building reports or dashboards and translating data into actionable insights.
- High attention to detail with a focus on governance, accuracy, and follow-through.
- Ability to collaborate effectively with cross-functional partners including TA, People Technology, and business leaders.
- Strong communication and problem-solving skills with the ability to support change and drive adoption of new processes.
