About the role
Tsawwassen First Nation (TFN) is a proud Coast Salish nation with our land base situated in Tsawwassen, B.C. In 2009, the Tsawwassen First Nation Final Agreement came into effect – this treaty was the first modern urban treaty in BC and the first treaty to be successfully negotiated through the BC Treaty Commission process. The Treaty provides us municipal, provincial and federal types of jurisdictions over a land base of 724 hectares.
Tsawwassen First Nation is a full member of Metro Vancouver, the first First Nation to do so. We are now going through a period of revival and renewal as we plan our future and seek opportunities to sustain our growth physically, economically and culturally, for present and future generations.
POSITION SUMMARY
Reporting to the Facilities Manager, the Facilities Administrator is a technical and administrative role that supports senior staff and multiple departments. This position is responsible for managing procurement processes, coordinating with vendors and contractors, and providing administrative support related to budgeting, documentation, and records management.
The successful candidate will handle complex requisitions, contribute to contract management, and serve as a key point of communication between internal teams and external partners.
DUTIES AND RESPONSIBILITIES
The duties described hereunder are intended to be representative of the position and are not considered as all inclusive.

Manage contracts and resolve issues related to low-risk procurements.

Collaborate with management to review and evaluate contracts.

Assist with and may lead the preparation of procurement documents, including bid and proposal evaluations.

Coordinate document reviews and approvals with internal legal team.
-
Provide directions to contractors as required.
-
Process annual service contract renewals.
-
Coordinate with maintenance and asset management teams.
-
Review requisitions and bids for materials, services, supplies, and equipment.
-
Maintain vendor databases and ensure accurate records.
-
Audit and verify invoices; maintain records of invoices and contracts.
-
Draft correspondence, reports, and other documentation independently or from brief instructions.
-
Respond to inquiries from staff, contractors, consultants, and the public.
-
Ensure vendors are in compliance with contractual terms across multiple projects.
-
Assist in coordinating office furniture and equipment.
-
Support maintenance coordination by managing and tracking service requests.
-
Assist in facilities budget development, including forecasting and monitoring expenditures.
-
Act as a central point of contact for facility-related communication and coordination.
-
Preparing, drafting, editing and formatting correspondence, reports, presentations and other required documents.

Maintain organized filing systems and handle confidential documentation.
-
Support process improvements to enhance operational efficiency.
-
Perform other related duties as required.
-
May assume additional responsibilities during municipal emergencies.
QUALIFICATIONS & SKILLS
-
Certification or post-secondary education in Business Administration, Finance, Facilities Management, or a related field.
-
Minimum of five (5) years of experience in procurement and administrative functions, preferably within a public sector environment.
-
An equivalent combination of education and relevant experience will be considered.
-
Ability to develop and manage contracts with minimal supervision.
-
Strong project coordination skills, including vendor oversight and performance monitoring.
-
Knowledge of facilities management practices and relevant regulations.
-
Familiarity with government purchasing procedures and regulations.
-
Understanding of basic accounting principles.
-
High attention to detail and accuracy in documentation and data management.
-
Strong organizational skills with the ability to manage deadlines, interruptions, and shifting priorities.
-
Proficiency in Microsoft Excel and Word.
-
Excellent verbal and written communication skills.
-
Ability to work independently and make sound decisions.
WORKING CONDITIONS
- Work is performed primarily in an office-based, indoor environment. After successful completion of a 3-month probationary period, an optional hybrid working arrangement may be reviewed based on role requirements and performance.
- Occasional travel may be required for meetings, conferences and training.
HOURS OF WORK

Hours of work are a scheduled total of 37.5 hours per week.

Standard hours Monday–Friday, 8:30 am to 4:30 pm, with occasional evening or weekend work based on operational needs.
COMPENSATION
-
$37.48 to $41.29 per hour. Placement within the pay scale is based on a review of skills, experience and internal equity

BC Municipal Pension Plan – employee contributes 8.61%, employer contributes 9.31%
